Legal Administrative Assistant


Job Details

We are seeking a highly organized and detail-oriented Legal Assistant to support our Corporate and Commercial Real Estate Transactional Department.


Responsibilities:

  • Support the department's executives by managing schedules, correspondence, and other administrative tasks.
  • Manage billing and invoicing for client matters efficiently, including overseeing the accounts receivable collections process to ensure timely payments.
  • Contribute to the firm's marketing initiatives, including preparing newsletters, brochures, and maintaining the firm's online presence.
  • Facilitate the maintenance of client files, data rooms and the due diligence process.
  • Coordinate logistics for closings, including document preparation and verification.
  • Engage with clients and manage communications under the direction of attorneys.
  • Provide comprehensive support in managing third-party documentation and negotiations.
  • Handle client intake processes, including initial consultations, gathering client information, and maintaining client records to ensure a smooth onboarding experience.


Minimum Qualifications:

  • 5+ years of experience in a legal support role, preferably in corporate or real estate transactions.
  • Strong administrative and executive assistance skills.
  • Proficient in Microsoft Office Suite and legal billing software.
  • Experience with A/R collections and financial record-keeping.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Authorized to work in the U.S.


Preferred Qualifications:

  • 10+ years experience in this role.
  • Experience in a marketing role within a legal or professional services environment.
  • Familiarity with legal compliance and record maintenance.
  • Proven ability to handle confidential information with discretion.
  • Experience in working with cross-functional teams.
  • Experience in client intake and customer service within a legal setting.
