Accounting Specialist - Fuel

Position Summary:

The Fuel Specialist position is responsible for the matching of fuel bill of ladings to the fuel deliveries posted by the stations and resolving any mismatched fuel deliveries utilizing various systems such as Titan, PDI and Vendor/Carrier Portals. The position is also responsible for the matching of the vendor fuel invoices to the confirmed bill of lading and resolving any price discrepancies by working with the manager of supply and fuel distribution.

Responsibilities:

  • Matching off fuel deliveries posted by the stations to bill of ladings received from the fuel terminals
  • Matching of confirmed bill of ladings to vendor fuel invoices.
  • Working with Carriers/Vendors when discrepancies between deliveries, BOL's and invoices arise.
  • Obtain missing paperwork from stations and manually entering missing Delivery, Bill of Lading and/or Fuel invoice into the system.
  • Working with vendors on obtaining missing invoices for deliveries received.
  • Working with Manager of Supply and Fuel distribution on costing difference between cost in system and what vendor is invoicing for.
  • Working with vendors to receive credit/rebills when vendor costing is incorrect and manually processing them in the system
  • Working with Tax team when there are tax decrepancies between the system and the vendors invoices
  • Review stations fuel inventory.
  • Researching discrepancies within the fuel inventory for the station as in cross drops, missing delivery, ATG issue, missing sales and missing or incorrect fuel readings.
  • Working with IT to resolve ATG issues when they arise to ensure correct readings are going into the system
  • Verify cross drops with Supply and Fuel Distribution team and then work with Carrier to get fuel pumped out from station and then re-supplied
  • Working with Retail Accounting to receive Credit Card reports in order to enter in missing sales.
  • Working with Store Edit specialists within the team to ensure missing sales are applied to both Fuel and Merchandising Sales for the specific station
  • Using the system Titan to get correct fuel readings and manually correcting the stations paperwork when not entered correctly
  • Calling/Emailing with stations directly when any issues arise as well as dealing with District and Regional Managers to ensure issues are resolved

Working Relationships: Work with IT, Fuel Distribution and Supply team, Stations, ATG teams, Tax team and Store Edit Specialists to ensure all issues with Fuel are resolved in a timely manner.


Minimum Education: High School Diploma

Preferred Education: Bachelor degree in Accounting

Minimum Experience: 1 to 2 years general office experience

Preferred Experience: 1 to 2 years experience related to Fuel Accounting

Licenses/Certifications: N/A)

Soft Skills: Ability to investigate and resolve problems

Hours & Conditions: M-F 40 hours per week

Driving Requirement: None - Other than to report to SSC in Westborough each day

Travel: Once a year to participate in the shadow a manager program

Physical: None

Other: Must be able to multi-task and meet deadlines
