Position Overview:

We are seeking a highly organized and detail-oriented Administrative Assistant to support office operations. The ideal candidate will manage various organizational and communication tasks, working independently and prioritizing tasks with minimal supervision.


Responsibilities:

  • Greet and assist visitors professionally
  • Answer and direct phone calls courteously and efficiently
  • Manage and organize office documents, files, and records
  • Schedule appointments and maintain calendars
  • Coordinate meetings and conferences, including bookings, equipment setup, and catering
  • Sort and prepare medical records, analyze documents for destination, and ensure quality in scanned reproduction
  • Perform quality checks on scanned documents using extensive knowledge of medical record forms
  • Assist in preparing reports, presentations, and other documents
  • Handle incoming and outgoing correspondence, including mail and email
  • Perform data entry and maintain databases accurately
  • Assist with travel arrangements and accommodations for staff
  • Order office supplies and maintain inventory levels
  • Assist in the onboarding process for new employees
  • Support special projects and events as assigned


Requirements:


  • Proven experience as an administrative assistant or in a relevant role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • Ability to multitask and prioritize effectively
  • Attention to detail and accuracy
  • Discretion and confidentiality in handling sensitive information
  • High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary is a plus
