The Office Coordinator is an integral part of this firm s daily operations as they act as a firm-wide communicator and ambassador of team culture. This individual will work towards fostering a positive and secure work environment, ensuring strong communication and organizational effectiveness.
The Office Coordinator will be responsible for various administrative and facilities-related tasks, including but not limited to:
- Maintain a positive working environment by enforcing procedures, rules, and regulations.
- Ensure complete files are available and updated for all team members.
- Provide engaging ideas and support organizing social events for staff in recognition of significant achievements.
- Assist Directors and Managers as needed with project or internal meeting needs including scheduling, taking meeting minutes, and preparing meeting materials.
- Maintain control of client meetings and conference room scheduling.
- Answer incoming telephone calls in a professional manner, determine the purpose of the call, and forward calls to the appropriate personnel or department.
- Order, receive, and maintain office supplies.
- Build relationships with the building property management and third-party vendors to ensure the office space is safe and clean for employee use daily.
- Perform other clerical duties as needed, such as filing, photocopying, and collating.
- Copy and bind reports, memorandum, and signal plans and prepare for distribution via messenger and/or overnight shipping.
- Champion and encourage a positive office work culture.
Preferred Qualifications for the Office Coordinator:
- High school degree or equivalent experience.
- 0-2 years of experience in an administrative function.
- High capacity for self-motivation and initiative.
- Excellent project and time management skills.
- Customer service-oriented and excellent communication skills.
- Proficiency in Microsoft Word, Excel, Outlook, and similar software.
- Meticulous attention to detail and superior organizational skills.
