This position provides administrative support to CEO and President and indirect support to other executives including assistance with administrative functions and strategic projects. In addition, this position is responsible for maintaining the corporate office. Provides a high level of service for all internal and external clients, including management team and office staff.


Corporate Administrative Assistant responsibilities include:

Corporate support:

  • Support activities for the corporation including executive events.
  • Strategy development and research in support of CEO and President.
  • Support executive staff in the achievement of corporate initiatives.
  • Assist with President s Club activities including research, booking travel, group events, presentations.
  • Assist with Earth Angel Charities:
  • Website maintenance
  • Social Media content
  • Merchandise store site and research of new merch items
  • Logistics surrounding EA events (travel, communication, meals, Ticketspice, Square, event set up & attendance)
  • Coordinate activities related to CEO Leadership, Strategy and other meetings.
  • Assist with CEO and President travel.
  • New Hire Orientation responsibilities to include calendar invites to new hires and presenters and shipping of IT and marketing items to new hires.
  • Distribution of Training Certificates both internally and externally.

Provide administrative support for certain operations activities and operational initiative projects as directed.

Backup responsibility for SmartSheet access and tracking.

  • Perform other duties as assigned.


General Administrative Support:

  • Greet visitors when in the office, and answer phones and direct calls as appropriate.
  • Order food for meetings or make restaurant reservations as needed.
  • Maintain storage room, kitchens, conference rooms and schedule meetings as needed.
  • Corporate USPS mailbox and distribution of mail.
  • Info@paytech email distribution and/or response.
  • Projects directed by Leadership.
  • Coordinate and plan office related events.
  • Maintain/order office, postage and kitchen supplies, water office plants.
  • Order flowers/gift items for approved occasions.
  • Setup Concur profiles for traveling staff members, ongoing Concur updates and maintenance.
  • Announce birthday dates on internal social media.
  • Coordinate military and other corporate donations.
  • Package shipping/overnight mailings and FedEx account.
  • Administer building work portal for new hires/terms, work orders and other building requests to support corporate office.
  • Manage vendor relationship for shred it, water delivery etc.
  • Order approved and ship holiday/client gifts.
  • Backup Sales and Marketing Coordinator for distribution of sales leads.


TO SUCCEED IN THIS ROLE:

  • 3 years of general administrative support required; multi corporate function support preferred
  • Must be detail oriented; have effective oral and written communication skills; possess strong interpersonal and organizational skills.
  • Must be able to multi-task and organize to manage multiple competing priorities simultaneously and in a professional manner
  • Must have the ability to exercise sound judgment and make decisions in a manner consistent with the job functions
  • Be a team player who can work with all levels in the organization
  • Possess high proficiency in MS Office Suite products, DocuSign, DropBox, Google docs. Experience with SharePoint and Salesforce preferred.
  • Responsible for maintaining strict confidentiality regarding employee information.
  • Must be able to be in office a minimum of 3 days per week and ability to work remotely up to 2 days per week.


This position frequently moves and lifts boxes weighing up to 50 pounds. Must be able to remain in a stationary position at least 50% of the time.

Compensation for the position is based upon work experience, training, and certifications with a range of $54K - $56K annually. The benefits available with this position include:
