Job Summary:
Under the general direction of the President, assist with administrative activity and communication with the governing body.
We are looking for a candidate with:
At least 3 years executive assistant experience within a banking environment; or a Bachelor s degree with 3 or more years administrative experience within banking environment
Familiarity with the Corporate Governance role
Outstanding interpersonal skills needed
Strong written and verbal communication skills
Proficient with Microsoft Word, Excel, and PowerPoint
Able to perform a variety of tasks simultaneously while adhering to deadlines, strong
organizational skills and attention to detail
Essential Job Functions:
Perform various administrative assistant duties such as preparation of correspondence, scheduling meetings and managing related records. Coordinate and process related paperwork to maintain efficient workflow.
Maintain knowledge of legislative and regulatory requirements in area of corporate governance as they relate to area of responsibility.
Schedule, coordinate and communicate with governing bodies board meetings in accordance with Bank by-laws and established procedures, as needed.
Prepare for Board meetings, as needed, in accordance with applicable law and Bank bylaws.
Initiate and follow-through on the preparation of corporate press releases.
Schedule and coordinate other corporate meetings and events as they relate to area of responsibility. Responsible for arranging various employee relations events and communication.
Prepare minutes of meetings working with the Clerk of the Board and maintain Board member education records.
Assist in obtaining documentation for Corporate Insurance, Reg O (loans to Executive Officers, Directors, and Other Insiders of the Bank) compliance, Code of Ethics compliance, and general auditor requests in preparation for Audit Committee meetings and working with the Director of Audit.
Manage special projects and/or programs, which include conducting research, problem solving and making recommendations for improvement.
Prepare and maintain files and records related to division. Ensure all documentation for division is organized according to established procedures. Maintain procedures manual as applicable to assigned duties.
Prepare and monitor Department operating budget. Prepare and process department invoices.
Prepare quarterly Executive Committee Abstracts and Investing Board Report. Prepare confidential reports and various correspondence proficiently by utilizing current technology.
Represent Division as needed by participating in various meetings. Serve as Business Continuity Committee member representing Administration.
Conduct department training and maintain necessary records.
