OPERATIONS ADMINISTRATOR



Job Purpose:



Working as part of the planning and procurement team, to provide high-level administration to successfully achieve company objectives.


Reporting to: General Manager: Operations


Projects and Operations Duties:

  • Administration of sales orders in line with the company procedure, to include;
  • Processing of systems and equipment from receipt of sales order to invoice.
  • Management of internal order release documentation
  • Management of engineering BOM releases and generation of SAP production orders
  • Including Stock management of component returns.
  • Generate and manage open sales order status, for UK and subsidiaries, presenting status on monthly Business Operation Review Meetings.
  • Management and communication of sales orders, in line with company Master Schedule
  • Liaising with accounts department regarding contract payment status
  • Direct communication with VA Tech customers, confirming customer order acknowledgements and commercial documentation.
  • Liaising with projects department.
  • Management of small orders projects holding weekly production meetings with key stakeholders.
  • Partaking in customer pre acceptance, regarding shipping schedule and documentation.
  • Management and coordination of shipping process. Working within the materials and purchasing department ensuring on time delivery and availability of materials within budgetary limitations
  • Expediting Purchase Orders
  • Supplier management of activity and negotiations
  • Maintaining physical stock levels to ensure materials are in accordance with manufacturing schedule and minimum stock levels
  • Management and implementation of Call off Orders and Pricing Agreements
  • Communication with intercompany departments on a daily basis

Skills & Experience:

  • Developed IT competence and PC Skills including use of SAP & Microsoft Office. 2 years of experience in a similar role and/or supply chain degree
  • Demonstrated ability to meet scheduled deadlines.
  • Have sound knowledge of mechanical manufacturing processes
  • Self-disciplined and accurate approach to order processing
  • Good written and oral communication skills. Production focused with a positive and energetic disposition.
  • Commercial awareness to achieve purchasing objectives.
  • Disciplined and accurate approach to materials movement.
  • Proven ability to meet scheduled deadlines.
  • Strong negotiation skills.

Qualifications: Qualified to degree level (preferred) or equivalent experience.
