Job Summary:

The payroll specialist will process bi-weekly payroll for North American employees using ADP WorkforceNow, ensure compliance with tax and labor laws, and assist with HRIS system changes and implementation. The ideal candidate will have experience working with organizations that have multiple company codes and complex pay and bonus systems, and a mindset toward improving processes. The payroll specialist will also be comfortable bringing issues or ideas to the team and collaborating with other finance and HR professionals. Additionally, the candidate will have experience working with accounting departments and teams, and a solid understanding of the accounting principles and practices related to payroll.

  • Proficient in Microsoft Office, especially Excel
  • Knowledge of payroll best practices and regulations
  • Experience with ADP WorkforceNow or similar payroll software
  • Strong preference for individuals with experience with reporting and data downloading

Duties/Responsibilities:

  • Process bi-weekly payroll for North American employees using ADP WorkforceNow
  • Review and verify payroll data, such as hours, deductions, benefits, and taxes
  • Resolve payroll discrepancies and answer payroll-related inquiries from employees and managers
  • Prepare and file payroll tax returns and reports, such as W-2s, 1099s, and 941s
  • Maintain payroll records and documentation in compliance with audit requirements and company policies
  • Assist with HRIS system changes and implementation, such as testing, data migration, and training
  • Support the director of culture and talent with special projects, such as year-end processing, payroll audits, and process improvement initiatives
  • Coordinate with accounting departments and teams to ensure accurate and timely payroll reporting and reconciliation
  • Filing payroll-related documentation and handling of payroll-department mail

Education and Experience:

Associate degree in accounting, finance, or related field

Minimum 3 years of payroll experience, preferably in a multi-state and multi-company environment

Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) a bonus

Experience with HRIS system changes and implementation preferred

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times
  • Must be able to access and navigate each department at the organization's facilities
