Administrative Assistant - Real Estate

We are seeking a highly organized and confident Executive Assistant to join our team and be the first point of contact for all inbound communications.


Responsibilities

  • First Contact Point: Handle all inbound phone calls and website inquiries, providing a friendly and professional initial impression of our company.
  • Client Communication: Act as the main point of contact for client communication before they arrive to tour real estate options, ensuring they feel informed and well taken care of.
  • Research & Information: Conduct research and provide informative responses to new client inquiries, demonstrating a deep understanding of our services and the local real estate market.
  • Newsletter Creation: Create engaging newsletters and other communications to keep clients and prospects informed about market updates, new listings, and company news.
  • Organizational Support: Assist with various administrative tasks, including scheduling appointments, managing calendars, and coordinating travel arrangements for clients.
  • Data Management: Maintain and update client databases, ensuring accurate and up-to-date information at all times.
  • Team Collaboration: Work closely with our real estate agents and other staff to ensure seamless communication and coordination across all departments.


Qualifications

  • Bachelor's degree or equivalent experience
  • Strong interpersonal, customer service and communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience: Previous experience in a similar role, preferably in real estate or a related field.
  • Strong organizational and multitasking abilities.
  • Familiarity with CRM software is a plus.
  • Confident and in control, with the ability to handle multiple tasks efficiently.
  • Quick learner, especially when it comes to geography and real estate specifics.
  • Detail-oriented with a strong commitment to providing high-quality service.
  • Positive and proactive attitude, with the ability to work independently and as part of a team.
