Job Details

Summary

Performs intermediate skilled administrative support work receiving and processing work orders from Property Management site staff, and assisting with other general clerical tasks, and related work as apparent or assigned. Work is performed under the supervision of the Property Manager.

Essential Functions

  • Answers telephone calls from residents and staff regarding maintenance services and converts those requests to work orders; answers inquiries that require interpretation of routine Authority Maintenance policies and procedures.
  • Manages work order processes; reviews and assigns work orders; generates move in/out work orders, reviews and enters charges on work orders for accounting; reviews work orders for outstanding dates; generates outstanding work order lists for management review; etc.
  • Prepares work orders for completion of maintenance projects; closes out work orders as completed; monitors outstanding emergency work orders and incomplete work orders and follows-up with appropriate staff.
  • Enters work order data from into computer system; distributes completed work orders to site for filing in unit files.
  • Assists in supply and parts inventory and accounting.
  • Operates a two-way radio or phone in communicating with maintenance personnel and supervisor.
  • Composes and types letters, reports, and other documents in conformance with policies independently or from brief instructions.
  • Performs various office support tasks such as typing, filing, making copies, and assisting with the creation of files.
  • Performs other duties as assigned.
Education and Experience

High school diploma or GED and one year of customer service experience in an office setting. A combination of education and experience may be considered.

Technical Skills

To perform this job successfully, the employee must have strong computer skills and working knowledge of Microsoft Office Suite products at a basic level (Excel, Word, PowerPoint, and Outlook). Must have the ability to learn other computer software programs as required by assigned tasks. Must also possess the ability to effectively operate all office equipment including but limited to copiers, scanners, fax machines and telephones.
