Job Summary: As an Administrative Assistant , you will play a pivotal role in ensuring the smooth functioning of our day-to-day operations. You will be responsible for coordinating various operational tasks, supporting the management team, and contributing to the overall efficiency of our company.


Key Responsibilities:


  • Coordinate and oversee the execution of operations activities.
  • Assist in the development and implementation of operational policies and procedures.
  • Manage scheduling, workflow, and deadlines for multiple departments.
  • Monitor and procure necessary office supplies and equipment.
  • Liaise with other departments to ensure operational alignment and efficiency.
  • Handle logistics for shipping and receiving, inventory management, and order fulfillment.
  • Prepare and present reports on operational performance to senior management.
  • Assist in budget preparation and expense management for the operations department.
  • Ensure compliance with federal, state, and local operational regulations and laws.
  • Provide administrative support as needed.
  • Additional Responsibilities:


Social Media Marketing:

  • Collaborate with the marketing team to develop and execute social media strategies.
  • Manage social media accounts, create content, and engage with the audience.
  • Monitor social media analytics and adjust strategies as needed.
  • Executive Support:
  • Provide administrative assistance to executives, including calendar management, travel arrangements, and meeting coordination.
  • Draft and proofread executive communications, presentations, and reports.


Contracts Management:

  • Assist in drafting, reviewing, and maintaining contracts with vendors, clients, and partners.
  • Ensure compliance with contractual terms and conditions.
  • Vendor Liaison (IT and Others):
  • Serve as the point of contact for IT vendors, addressing technical issues, procurement, and service agreements.
  • Collaborate with vendors to optimize technology solutions and troubleshoot any operational challenges.


Qualifications:


  • Bachelor s degree.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and other operational software.
  • Ability to work independently and as part of a team.
  • Detail-oriented with a problem-solving mindset.
