The Sales Administration Assistant Manager is responsible for supervising the activities of the Sales Assistants to ensure optimum productivity and compliance with all standards set by management. Makes independent decisions regarding the planning, organizing, and scheduling of the work involved for assigned customers.

**Duties and Responsibilities**

* Supervise the assignments and duties of each Sales Assistant to ensure a balanced workload, the ability to meet deadlines, work quality and adherence to policies and deadlines.

* Manage the order entry and purchase order processes and activities including all related matters such as returns, damage, compliance and other such claims.

* Effectively supervise & train direct report and monitor their daily work.

* Support all assign accounts and sales managers to ensure effective business transaction and relationships.

* In-house expert for problems ranging from customer accounting and warehouse issues, scrapping aged inventory, etc..

* Responsible for MOEM allocations.

* Manage Caterpillar PSI by engine model and series. Analyze KPI to determine critical gaps and communicate to the internal and Caterpillar team.

* Effectively analyze the gross margin variances each month and take corrective action and/or inform manager of noteworthy exceptions.

* Utilize the company business systems in an effective and accurate manner and maintain systems data and accuracy. Recommend key business improvements for S4 implementation and use.

* Administrate Ariba portal for whole goods. Coordinate all the supplier contracts with Toro, and supply Accounting remittances for MOEM customers.

* Check customer for on-time payment history each month and actively research past due payment issues to facilitate payment from the customer.

* Coordinate quality defect and rework projects, including the engine returns, logistics and cross-functional communication between the teams.

* Monitor and report monthly inventory levels, prepare PSI and support and other monthly reporting as directed.

* Manage and coordinate all logistic movements for MOEM customers.

* As directed, assist with the preparation of data & reports for the development of marketing and sales forecast

* Carefully oversee monthly ordering of product between customers and Kubota Japan

* Maintain the current price list of OEM and Kubota models and part numbers

* Work to ensure that any unique business requirements of each assigned account is managed effectively.

* Manage special projects as assigned; assist with the direction and maintenance of special teams projects

* Inform Manager of all noteworthy activities

* Responsible for staffing, conducting performance appraisals, addressing employee complaints and resolving employee problems.

* Establish work procedures and processes that support company and departmental standards, procedures, and strategic directives

* Establishes and communicates a training plan for staff to maintain an up-to date training force

* Create and maintain a high-quality work environment so staff is motivated to perform at their highest level

* Develop and maintain a team effort within their department that is customer focused

* Support co-workers in other departments as needed

* Communicate, organize, and maintain confidential information and material

* Follow safety guidelines and department and corporate policies and procedures

* Maintain an organized and secure work environment

**Authority**

Assists in the oversight of the Sales Assistants staff

* Strong problem solving skills and discernment for various decisions such as type of shipping method when not specified, pricing issues, or other system situations

* Strong ability to manipulate large amounts of data using various spreadsheets and other data records by extracting, combining, updating, and creating new spreadsheets

* Ability to multi-task, establish priorities and meet deadlines, maintain a flexible attitude and approach towards assignments, and maintain level of organization in a changing and fast paced environment

* Strong working knowledge of SAP

* Ability to travel on an as needed basis, possibly overnight

**Education and Training**

* Associates Degree or equivalent

* 5 years customer service experience

**Physical Demands**

* Sitting for long periods of time with some walking, stooping, bending, and reaching

* Dexterity to make fast, simple, repeated movements of the fingers, hands, and wrists

* Movement by holding, turning, and grasping of objects

* Ability to drive a car and travel by air

* Ability to hear normal conversations on phone or in person

* Ability to see more than 20 feet

* Ability to see color and see/read computer screen

**Work Environment**

* Work is performed in an office environment. Noise level is moderate

* Limited exposure to the warehouse. Limited exposure to temperature variations when shipping doors are open

* While traveling, will experience noise and comfort levels common to automobiles and airplanes
