Position Overview

As an Administrative Assistant with our firm, you'll provide essential administrative support to our legal team, ensuring smooth operations and contributing to the firm's productivity, including:

  • Administrative Support: Assist attorneys and legal staff with scheduling, correspondence, and document management.
  • Client Interaction: Greet clients and visitors, answer phone calls, and facilitate communication between clients and legal staff.
  • Document Preparation: Draft, proofread, and format legal documents, letters, and reports.
  • Case Management: Organize and maintain case files, ensuring that all necessary documents are properly stored and accessible.
  • Calendar Management: Schedule appointments, court dates, and client meetings, and provide reminders to attorneys.
  • Data Entry: Enter and update client information in firm databases, ensuring data accuracy and confidentiality.
  • Supply Management: Monitor and order office supplies, keeping the office well-stocked.
  • Billing Assistance: Support the billing process by preparing and sending invoices, and tracking payments.
  • General Office Duties: Perform tasks like photocopying, filing, and other administrative tasks as needed.


Qualifications

  • High school diploma or equivalent; additional qualifications in office management or related fields are a plus.
  • Proven experience as an administrative assistant or in a similar role, preferably in a legal setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal software.
  • Strong organizational and time-management skills with the ability to multitask.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong attention to detail and proactive problem-solving abilities.
  • Pursuing a college degree is a plus.
  • Pursuing law school is a plus.
