Job Overview, Description, and Duties

As Paralign continues to enjoy rapid growth, we are seeking an exceptional Executive Personal Assistant to join our team and provide invaluable support across all personal and business matters to our Managing Partner ( MP ) and his family, enabling him to continue to serve existing, and forge new relationships with, clients across the country. Paramount to this role is the ability to provide executive and personal support to our MP and his family, delivering time and peace of mind.


This role is fulltime (~40 hours/week) and will be based in Sioux Falls, South Dakota. Working hours are fluid, depending on the MP s and his family s needs, but are primarily 9am-5pm Monday-Friday, though may require up to two later evening and/or one earlier morning per work week (which would offset time elsewhere). While priorities will shift week to week depending on the needs of Paralign, the MP, and his family, we estimate that the split between time devoted to the MP s professional and family responsibilities will average about 50%/50%.


Paralign Support Duties

This position will provide executive level administrative and other support to the MP, with a focus on marketing, new business development, strategic client service, and firm administration. The person in this role is responsible for managing the MP s calendar, scheduling and arranging business meetings and events, travel coordination (with a focus on maximizing the use of private aviation), managing communication within the Paralign team and amongst clients and referral partners, and ensuring completion of action items with a high degree of accuracy, efficiency, and professionalism. Other daily tasks include handling confidential material with discretion, coordinating day-to-day workflows, expense management, and follow-up with key stakeholders on behalf of the MP. This individual is an extension of the MP s reputation and brand internally and externally and must be confident, thoughtful, and professional in the way they interact with others.


Specific Paralign responsibilities include:

  • Serving as a point of contact for internal and external stakeholders on behalf of the MP, handling inquiries, and through knowledge of the MP s goals and priorities, either identify items that require executive time and attention or delegate to another Paralign professional to address.
  • Own the calendar for, and employ strong time management skills on behalf of, a leader with a very busy schedule and the potential for changing priorities. Manage all meeting requests (both inbound and outbound, resolving inevitable conflicts in a timely fashion that arise along the way) and, as necessary, coordinate meeting space and associated logistics as needed.
  • Coordinate complex domestic travel in a timely manner and handle expense reports with insight on the cost of potential options while maintaining the MP s preferences.
  • Work collaboratively with other Paralign professionals and build strong relationships with them to ensure a broad appreciation of the needs of the organization.
  • Manage internal team communication tools (Microsoft Outlook, SharePoint, Teams, OneNote, Excel, and Word).
  • Handle clerical, administrative, technical or customer support issues under minimal supervision, while escalating only the most complex issues to appropriate staff.
  • Other duties as assigned by the MP.


Personal Support Duties

The Executive Assistant to the MP is also responsible for the daily operations of the MP s family, including managing the family s home inside and outside, and responding to the family s daily needs. In general, the Executive Assistant will ensure the smooth operation of the home and the family s schedule, with a positive, proactive attitude. Common duties include managing the household, light cleaning and meal preparation, sporadic childcare, coordination of travel, managing other household staff and contractors, and driving children to and picking them up from daycare, appointments, and extracurricular activities. To accomplish these duties, the Executive Assistant will be issued a vehicle and provided with insurance and a fuel stipend.


Qualifications

Ideal candidates would possess the following characteristics:

  • 2+ years of executive assistant experience.
  • 2+ years of childcare experience; desire and willingness to provide occasional care to a 4-year old boy and 2-year old girl on an as needed basis (both attend school daily, so care would be ad hoc outside of school hours, when they are sick, or in need of transportation to appointments and activities).
  • Someone who is detailed orientated, organized, and exhibits sound judgment with the ability to prioritize and make decisions. Consistent professional demeanor with the ability to interact with all stakeholders.
  • Strong organizational and multi-tasking abilities are essential with a sense of urgency when completing tasks.
  • Self-directed and motivated with proven ability to problem solve and drive for finding solutions.
  • Good verbal and written communication skills; consistent in follow-up and finding ways to communicate consistently.
  • Someone who thrives in a fast-paced autonomous work environment and can adapt to change quickly.
  • Fluent in English.
  • Proficient computer skills including Microsoft Outlook, SharePoint, Teams, OneNote, Excel, and Word.
  • Valid driver s license and clean background, credit, and driving record.
  • Strong references from prior relevant employers.
  • Willing to sign a nondisclosure agreement with Paralign and the MP s family.
  • Possess CPR/first aid certification (and will renew as needed); non-smoker.
  • Willing to travel domestically in support of Paralign and the MP s family functions.


Salary Range

Paralign is dedicated to providing its team with upwardly mobile advancement opportunities and significant compensation potential. While inherently unpredictable based on market, industry, firm performance, individual performance, and economic conditions, Paralign is prepared to provide a highly competitive compensation package based on the candidate s relevant qualifications, skills, and experience. Subject to the foregoing, Paralign is offering base pay of $25-$35 per hour, with 40 hours of work per week guaranteed, or $50,000-$70,000 annually (depending on educational and amount of relevant experience), plus a competitive bonus program payable biannually, as well as 401(k), health, dental, vision, and other ancillary benefits (PTO, disability, life, etc.).
