Executive Assistant

Join our client, an outstanding digital agency committed to helping companies achieve success. As the Executive Assistant, you will work as a pivotal extension of the business development team. This role entails providing administrative support to the Co-CEO while also actively contributing to business development efforts and project coordination. The ideal candidate will possess strong organizational skills, a results-oriented mindset, and the ability to manage schedules, arrange meetings, coordinate events, and handle various administrative and project-related tasks. The successful candidate will work autonomously to execute business development initiatives, manage small-scale projects, and ensure timely and high-quality deliverables.


Responsibilities

  • Work with the Co-CEO and business development team to provide administrative support across various tasks, with a core focus on supporting sales activities.
  • Facilitate the execution of meetings and other events by handling scheduling, agenda preparation, minute-taking, and comprehensive documentation, including the dissemination of necessary follow-ups.
  • Monitor and follow up on the outcome of proposals with the pitch lead and update trackers accordingly.
  • Own and distribute weekly status reports for all business development activities and prospects.
  • Assist with the preparation of materials for weekly stand-up meetings and quarterly business reviews.
  • Create and maintain client databases and mail lists.
  • Assist with the coordination of tradeshows and conferences.
  • Help manage the business development team budget.
  • Build and maintain relationships with internal/external stakeholders, staff, clients, vendors, and partners.
  • Anticipate and resolve issues proactively, demonstrating problem-solving skills and resourcefulness.
  • Collaborate effectively with other administrative staff and departments to ensure seamless operations and communication within the organization.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.


Ideal Experience

  • Bachelor's degree preferred, with 3-5 years of experience
  • Proven experience as an administrative assistant, project coordinator, or similar role.
  • Strong organizational and time-management skills.
  • Ability to multitask and problem solve, working independently in a fast-paced environment.
  • Proficiency with online collaboration tools (Google Drive or Microsoft 365), proficiency with Word and Excel, and experience with project management software or CRM software is a bonus.
  • Excellent written and verbal communication abilities.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Flexibility to adapt to changing priorities and deadlines.
  • Experience in a design, marketing, digital agency, or similar creative environment is preferred.
  • Experience in business development or sales teams is preferred.
