Essential Job Functions

The Executive Assistant will provide administrative support to the Chicago Senior Director of Administration. Responsibilities include, but are not limited to: supporting the Chicago Senior Director of Administration with the budget process, preparation and reporting on financial metrics and tracking vendor payments; complex calendar management, conferences and preparing travel arrangements and expense reimbursement. Plan and coordinate events, including luncheons and various senior management meetings. Prepare internal and external communications and proactively anticipate needs of the Senior Director of Administration. This position requires well developed organizational and communication skills as well as ability to exercise sound judgment and maintain professionalism.

ESSENTIAL FUNCTIONS (This list is not exhaustive and may be supplemented and changed as necessary.)

  • Complex meeting scheduling, email and calendar management
  • Anticipate needs to ensure projects and deadlines are met
  • Prepare office wide communications related to office closures, emergency preparedness and general announcements, etc.
  • Perform preparation and analysis of monthly, quarterly and annual budget results
  • Able to prioritize assignments to meet deadlines and multi-task
  • Exercise good judgment in a variety of situations
  • Ability to handle confidential information with discretion
  • Provide project support through meeting scheduling and research
  • Ability to interact with senior executives, VIPS and all members of the organization with professionalism
  • Creative and collaborative with an understanding of how to reach relevant stakeholders across multiple disciplines
  • Attend key meetings and capture comprehensive notes/actions for reporting
  • Create agendas, itineraries, and other support materials
  • Develop positive and effective working relationships with the executive team and other colleagues
  • Build an effective internal and external network

Qualifications & Requirements

Education, Work Experience, Skills

An Executive Assistant professional with a minimum of 5 years of experience in a law firm or other professional services environment. Qualifications include excellent communication skills, both written and verbal. Strong administrative, planning and organizational skills. Ability to work independently on projects and also within a team environment. Ability to thrive in a busy, time-sensitive environment and maintain strict confidentiality. A Bachelor's degree preferred, Overtime and travel as required.
