POSITION SUMMARY
On behalf of the Department Chair of Architecture, lead and assist in coordinating academic programs, guest presentations, student travel programs, faculty development, and high school interactions. Responsibilities include but are not limited to: creating outreach initiatives, coordinating travel for guests and faculty, engaging with alumni, planning student travel programs, monitoring donor appreciation, maintaining department records, tracking equipment usage, and managing budgets, among other tasks.

Requirements

ESSENTIAL FUNCTIONS

  • Maintain organized departmental records including course rosters, fees, and student contacts
  • Cultivate relationships with Catholic high school guidance counselors
  • Manage and review department inquiries via various channels
  • Source and forward scholarshipopportunities for students
  • Process new scholarships and oversee compliance
  • Coordinate travel arrangements for guest speakers and critics
  • Reserve event spaces and support department functions
  • Manage budgets, travel plans, and supplies for programs
  • Oversee office staff, student workers, and adjunct contracts
  • Assist with administrative tasks including catalog updates and accreditation pursuits
  • Coordinate IT and maintenance issues
  • Track finances, faculty travel, and department keys
  • Schedule rooms and manage deliveries
  • Assist with department events, fundraisers, and alumni engagement
  • Maintain department website and social media presence
  • Coordinate community involvement and student activities
  • Manage circulation of department resources and records of student work
  • Support student club events and facilitate guest transportation
  • Liaise with campus offices for departmental needs
  • Perform other duties as assigned by the Department Chair

Experience

A minimum of one year of comparative experience is preferred; experience in architecture and/or the fine arts is preferred.

Proficiency with Microsoft Outlook, PowerPoint, Word and Excel is required.
