Description

Position Purpose:

The Student Records Specialist works to ensure that student records are maintained accurately to provide great service to our students and clean analytics to leadership. This includes online, stateside, and Woodland Park students and includes all years of study at Charis. They must communicate with other departments as it pertains to documents and records. They must also maintain a variety of processes required for the wide range of Charis students. Records Specialists must audit the student records for accuracy, student completion, and compliance.

Due to the nature of this position, current Charis Bible College students will not be considered for the role of Student Records Specialist.

Essential Duties:

  • Maintain the accuracy of student records to provide reporting on student numbers, demographics, attrition, and retention for all Charis students
  • Follow all processes and proper data mapping within the SIS to ensure accurate data is being imported and exported to the CRM and LMS
  • Assist in the data migration and clean-up of legacy systems and the launch of new systems
  • Ensure onboarding for new and returning students is handled with excellence and registration into the proper classes and status updates are made
  • Data entry of student information and updates in the Office of the Registrar efficiently and accurately following all process guidelines
  • Work closely with the process team and SIS development team as it pertains to utilizing and maintaining the SIS
  • Other duties as assigned


Qualifications

Knowledge, Skills, and Abilities:
  • Excellent problem-solving skills
  • Good verbal and written communication skills
  • Must be able to effectively operate Windows-based computer
  • Excellent Microsoft Office skills (Word, Excel, Outlook, and Access)
  • Knowledge and ability with software systems for maintaining and processing student records
  • Knowledge of academic student record-keeping in a setting of higher education
  • Must have a high level of professionalism and discretion in dealing with sensitive and confidential information
  • Detail-oriented, with high-level organizational skills

Requirements:
  • Must have a personal relationship with Jesus Christ
  • Must sign the Statement of Faith
  • A high school diploma or equivalent education is required
  • Charis Bible College graduate is preferred
  • Must pass all required checks

Experience:
  • Minimum of 1 year of administrative experience required
  • Minimum of 1-year customer service experience required
  • Compensation is commensurate with experience
