Description: Job Summary:Provide Health Record and Mail services to all direct and non-direct patient care facilities in order to meet the changing and unique needs of each facility. This is accomplished by filing, retrieval, dispatch and maintenance of health records in the region or specific health record data needed for patient care.Essential Responsibilities:Provide all health record services for medical offices/support areas. This entails receiving requests, pulling records and affixing all loose documents to the health record. Coordinate bundle and send records via the Chart Tracking System according to facility and provider. Place records in tubs or baskets for Transportation pick-up and delivery.Receive and dispatch all inter-office mail, federal mail, light freight deliveries, Data Control packets (e.g., Biweekly Report, Budget Report, and Physician Scheduling) and other miscellaneous mail for all plan facilities within the Region. All mail must be sorted and dispatched in a timely manner, as it affects the workflow for most KP departments.Sort loose documents routed to the Medical Record File Services Department for scanning into the Interchange/EPIC system for viewing by all EpicCare users. Sort documents, verify identifying information is on each document, prep for the scanning process (e.g., no staples, simplex, duplex, light copies).Receive all health records returning to Medical Record Files by scanning each record into the Chart Tracking System. Sort and distribute all incoming records into terminal digit order and return records to their designated file location.Perform file maintenance for assigned area of files, problem solve for missing health records, repair health records as needed, split large charts into multiple volumes and prepare health records for legal proceedings. This entails reviewing each document in the paper health record to ensure it belongs to the same patient. Misfiled documents must be referenced in both the incorrect and correct record according to protocol. Health records prepared for legal proceedings must have all electronic information printed and collated with the complete paper record.Performs other duties as assigned. Basic Qualifications: Experience N/A Education High school Diploma or General Education Development (GED) License, Certification, Registration N/A Additional Requirements:Basic knowledge of PCs and a Windows based environment including mouse skills.Basic keyboard experience. Ability to clearly speak, read, write and thoroughly understand English.Ability to learn and retain knowledge regarding large volumes of policies and procedures.Ability to physically perform the duties of the job which include reaching, bending, standing for long periods, lifting up to 25lbs with varying heights Preferred Qualifications: One (1) year experience in a large managed care medical facility.Basic knowledge of Medical terminology I with a passing grade C or above. Basic knowledge of Principles of Confidentiality. Basic knowledge of terminal digit filing. Working knowledge of PCs and a Windows based environment including mouse skills. Basic knowledge of office equipment (i.e., fax, copy machine, multi-line phone).
