Purpose of Job:

Performs secretarial and/or bookkeeping support pertaining to the administrative functions of the school office.

Primary Job Duties/Responsibilities: The following duties are normal for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned as needed.

General Responsibilities/Essential Functions:

  • Organize and maintain an efficient office that handles a variety of tasks for the administration, faculty, students and parents of the school
  • Perform secretarial and clerical tasks of a varied nature. Many tasks will require a thorough understanding of school and district processes with the ability to use proper judgment within the scope of the authority granted by the principal
  • Register students, secure appropriate student records, maintain confidential student records and transfer records for students moving to other schools
  • Maintain a calendar of events and use of facilities
  • Must have expertise in public relations work on the telephone, and in person, being able to relate well with people
  • Provide assistance to students, staff, parents and visitors entering office
  • Frequent dissemination of procedures to parents and school personnel is required, responding to frequent telephone inquiries, relaying or recording messages accurately to or for appropriate persons
  • Maintains a variety of electronic and/or manual records, files, databases
  • Provide a secretarial support for immediate supervisors as directed
  • Must comply with federal, state and local statutes and regulations, school board policies and administrative regulations, and school level policies and procedures
  • Read and sort incoming and outgoing data
  • Perform delegated nursing duties (not medical procedures) in the nurse's absence

Additional Responsibilities/Job Duties (As assigned by Supervisor)
  • Attendance
    • Compile/type daily absentee lists, computing dismissals and tardies
    • Write tardy slips and dismissals for students
    • Prepare all suspension notices and keep a record of suspensions and returns as assigned by the Principal
    • Enroll and drop students, prepare and complete withdrawal sheets, update addresses
    • Prepare attendance reports
  • Bookkeeper
    • Maintain a complete and systematic set of records of all financial transactions of the school or district
    • Prepare financial statements and cost reports which reflect the financial condition of a school or district
    • Reconcile accounts with bank statements
    • Collects fees and/or funds from students
    • Maintain contacts with vendors, parents, and bank personnel
    • Work directly with Teachers and Central Office Personnel to ensure proper accounting of funds
    • Responsible for annual audit of total expenditures and revenues by external auditing team
    • Make deposits in a timely manner
    • Handle other school related business in the community (at the principal's discretion)
    • Make decisions regarding ordering of supplies
    • Distribute tickets for athletic events, and prepare ticket reconciliation and fund-raising reports

Other Duties and Responsibilities
  • Project a positive image of the LSSD at all times
  • Keep information confidential concerning school business
  • Act in a professional manner at all times
  • Have knowledge of office procedures, good secretarial skills, typing, bookkeeping, use of copy machine, or any office machines used by the individual offices
  • Monitor the Lebanon Special School District system radio for any issues that may need immediate attention
  • Dress neatly and appropriately for the position held
  • May operate a motor vehicle to conduct various work activities
  • Successful completion of Criminal Justice fingerprint/background process and drug screen
  • Performs other duties as assigned

Qualifications: To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • High school diploma (post-secondary education preferred)
  • Any equivalent combination of education, training and experience which provides the requisite knowledge, skills and abilities for the job
  • Ability to function in a variety of word processing, database and spreadsheet programs
  • Must possess excellent organizational skills and interpersonal skills, and have a high attention to detail with the ability to handle multiple tasks at once and a desire to complete tasks accurately, timely and with an emphasis placed on customer service and collaboration

Physical demand requirements are at levels of those for active light work in an office setting.
