Job Title: Operations Coordinator - Service Dispatch

Overview: We are seeking an Operations Coordinator with a focus on Service Dispatch to join our team in the commercial mechanical construction sector. This role is crucial for ensuring effective coordination between customers, field technicians, and internal teams to maintain smooth operations. The ideal candidate will have strong organizational skills, excel in communication, and be adept at managing schedules and dispatching services efficiently.

Responsibilities:

  • Coordinate and schedule service dispatches, ensuring optimal allocation of technicians to meet customer needs.
  • Create and manage service work order tickets, distributing them to relevant parties.
  • Facilitate clear and efficient communication between managers, administrators, dispatchers, and technicians.
  • Provide comprehensive clerical and administrative support, including answering calls, scanning, faxing, filing, and collating.
  • Assist in preparing project proposals and quotes, ensuring accurate packaging and submission.
  • Maintain and update various service department records and reports, such as customer maintenance logs, warranty information, and renewal notices.
  • Compile and validate timesheet reports, liaising with payroll as necessary.
Requirements:
  • High school diploma or equivalent, higher education degree preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with Google Docs.
  • Previous experience in dispatching or the construction industry is beneficial but not required.
  • Local and stable work history.
