Position Overview:

We are seeking a highly organized and motivated individual to join our team as a Scheduler, Dispatcher, and Administrative Assistant. This role is pivotal in ensuring the efficient operation of our service delivery by managing schedules, dispatching technicians, and providing administrative support.

Key Responsibilities:

  • Schedule and coordinate service appointments, ensuring efficient use of technician time and resources.
  • Dispatch technicians to service calls, providing them with the necessary job details and logistics.
  • Maintain and update the scheduling database, ensuring accuracy and timeliness of information.
  • Communicate effectively with technicians, customers, and internal teams to provide updates and resolve scheduling conflicts.
  • Handle administrative tasks such as data entry, filing, and preparation of reports.
  • Process customer service requests, from initial contact through to assignment of technicians.
  • Monitor and manage inventory of parts and supplies needed for service calls.
  • Assist in billing, invoicing, and other financial administration tasks as needed.
Qualifications:
  • High school diploma or equivalent; further education or certification in business administration or related field is a plus.
  • Proven experience in scheduling, dispatching, or a similar administrative role, preferably in the HVAC or related industry.
  • Strong organizational and multitasking skills, with the ability to manage priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills, with an emphasis on customer service.
  • Proficiency in Microsoft Office Suite and experience with scheduling software.
  • Ability to work independently and as part of a team, with a proactive approach to problem-solving.
