****Job Summary****

As a Customer Service Coordinator for our Better Being Co. Canada segment, you will act as a liaison, provide product/services information, answer questions, and resolve any emerging problems that our customer accounts might face with accuracy and efficiency. Excellent communication abilities and data entry skills are essential for candidates.

****Essential Functions****

* Process customer orders, credits, and invoices ensuring accuracy, both in product and quantity ordered. Responsible for all document distribution or archiving.

* Manage PO processing and deliveries to strict lead times to manage costs and potential penalties

* Record shipment, pricing, quantity discrepancies as reported by customers and issue appropriate credits. Provide follow-up and support on issues when needed.

* Advise customers of Advance Cut Notice.

* Trace and research customer orders and field questions from accounts.

* Use all available tools to prepare/manage/monitor all inbound imports from Utah plus maintain line of sight into all in-country wholesale transactions

* Manage backorders and backorder clean-up. Requests additional production and deletes orders under MOQ, if needed.

* Supports product lifecycle by tracking expiry dates and shipments accordingly.

* Process customs invoices through custom broker portal to ensure expedient shipment clearance at the border.

* Manage any / all preferred carrier portals for shipment booking (APL for TJX).

* Liaise with 3PL to manage shipment appointments through client portals/emails/phone and to ensure we meet expected arrival date.

* Become fluent in all CDN Groc/Drug/Mass/eComm account inbound policies and guidelines.

* Looks up customer orders/invoices and provides information to customer pertaining to order/invoice dates, totals, and shipment dates.

* Must be able to master multiple order entry programs and switch between all at a moments notice.

* Master Exact Finance/ERP system, 3PL WMS for finance, inventory management and order processing.

* Active participant in forecast procedure and processing of inventory requests accordingly.

* Possible future participation on trade spends management and CRM platform(s)

* Master complex realm of eCommerce fulfillment (Amazon.ca VC); inbound procedure, shipping labels, credits, deductions, cost control, etc. with both 3PL provider and eComm contractor.

* Must have a positive, professional attitude and demeanor, and constantly be looking for ways to improve the service we provide to our customers, both internal and external.

* Must have high level of interpersonal skills to handle sensitive situations. Position continually requires demonstrated poise, tact, and diplomacy.

****Job Qualifications****

* Bachelor's degree from four-year college or university in Business or Marketing or a related field, plus one to two years related experience and/or training; or equivalent combination of education and experience.

* One to three years of Customer Service, preferably order fulfillment to account(s) experience.

* Must have knowledge of a variety of computer software applications in word processing and spreadsheets.

* Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Good verbal and written communication skills are necessary.

* Ability to calculate figures and amounts such as discounts, interest, proportions, and percentages.

* Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

* Must have problem recognition and decision-making skills along with excellent phone skills.

****Physical Requirements****

* While performing the duties of this job, the employee is occasionally required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.

* Employee must exert up to 20 lbs. of force occasionally, and/or a negligible amount of force constantly to move objects.

* Specific vision abilities required by this job include near acuity, far acuity, depth perception, accommodation, color vision, and field of vision.
