Position Overview

The Coordinator, Strategy & Logistics is charged with ensuring that all school operations are high-functioning. The primary responsibility of the Coordinator is to ensure a welcoming and efficient main office. S/he maintains the school's administrative systems and routines and also is the main point of contact for all external parties arriving at the school. In collaboration with the Director or Manager, Strategy & Logistics, the Coordinator also will support a wide range of operational functions, from finance and student data systems, to facilities and supplies. The Coordinator must be able to communicate effectively with students, teachers, families, visitors, and community partners. The ideal candidate is entrepreneurial, extremely organized, creative and solutions-oriented, systematic, and committed to these goals. This position is a safety-sensitive position. As a result, throughout employment this position will be subject to the Employee Mandatory Drug and Alcohol Testing Policy.

The Coordinator, Strategy & Logistics will report to the Director, Strategy & Logistics.

Essential Duties and Responsibilities

Communications

  • Ensures an orderly, responsive, and friendly school.
  • Greets and documents all visitors.
  • Responds to concerns from students, families, and colleagues promptly and effectively.
  • Manages phones, including answering calls, re-directing calls, taking messages, placing calls, and creating school announcements.
  • Manages mail, including distributing received mail, preparing school mailings, and making mail drops.
Student Information Systems
  • Supports the student enrollment process and audit process.
  • Ensures that the student enrollment binders and materials are in compliance, through mock audits.
  • Ensures there are clear procedures for the managing of student information, generating of reports, and monitoring of distribution of progress reports and report cards.
  • Ensures the school maintains accurate student records, including attendance and enrollment.
  • Monitors student transcript requests, teacher recommendations, and other records requests.
  • Supports or leads the attendance compliance team.
  • Ensures that student attendance compliance documents (such as SST & Court Referral documents) are accurate and up to date.
School Events
  • Coordinates logistics and preparations for school events and activities as needed (making photocopies, setting up for events, and making phone calls to confirm attendance).
  • Participates actively when needed in faculty meetings and other meetings.
Finance and Purchasing
  • Coordinates on-site components of school financial systems, such as purchase orders, payroll records, and financial forms.
Overall School Functioning
  • Manages school maintenance and supply systems.
  • Completes all necessary duties for the successful and orderly functioning of the school (e.g., hallway supervision, arrival/departure transitions, and participation in field trips) and other such duties as assigned by the Director and/or Manager, Strategy & Logistics.

  • Health and safety
Please note: This position is not required to conduct home visits.

Qualifications
  • Bachelor's degree.
  • Two or more years of experience in customer service and main office management preferred.
  • Previous exposure to or experience in the education sector a plus.
