The Administrative Specialist for Student Services provides vital administrative support to the Student Services department, including Early Childhood (South Preschool School). This role is essential in ensuring efficient operations and effective delivery of services to students, families, and staff members. The Administrative Specialist undertakes various administrative and clerical tasks, manages communication, and assists in coordinating a wide variety of responsibilities to ensure the highly effective functioning of the Student Services department across the district.

Qualifications:

  • Strong organizational skills with attention to detail, systematic procedures, and the ability to multitask effectively
  • Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders
  • Advanced skills leveraging technology supports - including but not limited to: Google Drive applications, spreadsheet & data analysis, calendar management, scheduling tools
  • Ability to maintain confidentiality and handle sensitive information with discretion and sensitivity
  • Flexibility to adapt to changing priorities and work effectively in a dynamic environment
  • Proven experience in an administrative support role
  • Familiarity with an educational setting, early childhood, special education, IEPs, ISBE student related data-bases, purchase ordering/ invoicing/ billing procedures, coordination of specialized transportation services, preferred
  • Previous experience in Student Services and/or Special Education administrative assistance procedures, preferred
  • Bilingual, preferred

Responsibilities:
  1. Administrative Support: Provide comprehensive administrative support to the Director of Student Services & Early Childhood, as well as across the Student Services department, including but not limited to managing schedules, handling confidential student/ staff information and data, organization of confidential records, managing correspondence across various stakeholders.
  2. Data Management: Maintain accurate and up-to-date records, databases, and student files. Ensure confidentiality and compliance with relevant policies and legal regulations.
  3. Communication: Serve as a primary point of contact for inquiries and communication within the Student Services & Early Childhood departments. Respond to emails, phone calls, and other correspondence promptly and professionally.
  4. Student Support Services Coordination: Assist in coordinating various student support services in collaboration with department staff to schedule appointments, meetings, translation services, transportation services, assessments, etc.
  5. Documentation and Reporting: Prepare and maintain documentation, reports, student data, and other relevant department data & reports related to student services activities, outcomes, and evaluations. Assist in compiling data and generating reports as required by district leadership and external agencies, including state ISBE data-bases.
  6. Financial Administration: Support budget management activities by tracking expenses, processing invoices, analyzing purchase orders, and reconciling accounts related to Student Services accounts and grants.
  7. Collaboration: Collaborate directly with the Director of Student Services & Early Childhood, as well as other department and district staff, families, and stakeholders to facilitate seamless delivery of student services supports and the overall mission of the school district.
  8. Event Coordination: Assist in planning and organizing events, workshops, preschool screenings, and other relevant events/ meetings related to student services. This may include scheduling venues, sending invitations, coordinating materials, and providing on-site support during events.
  9. Professional Development: Stay informed about relevant policies, procedures, and best practices in student services administration; including participation in professional development opportunities to enhance knowledge and skills in the field.
  10. Other relevant duties and/or responsibilities as assigned.

Working Environment:

The role is primarily based in an office environment within the school district administrative offices. The position may involve sitting for extended periods and occasional lifting of materials and/or equipment.

Compensation:

$55,000 - $62,000 based on experience and skill
