The Role

The Specialist, Distribution & Logistics, is responsible for scheduling international and domestic shipments originating at US Moderna entities. In this role, the Specialist must effectively respond to business needs while ensuring compliance with quality and regulatory requirements such as GDP/GMP, Cold Chain, and Trade Compliance. The Specialist will be responsible for arranging and being the voice for the customer for all shipments from the Norwood manufacturing and other sites as required. This role involves daily collaboration with the internal and external stakeholders to maintain and execute daily shipments according to procedures. The Specialist must understand and provide the required documentation, adhere to import/export regulations, possess knowledge of packaging engineering, and ensure accurate and complete processing of transactions in Moderna's validated systems as well as unique business tools. This role requires a high degree of attention to every detail of shipment preparation and execution as each shipment is unique and the activities are to be performed on a very tight timelines to meet our customer's needs.

Here's What You'll Do

  • Independently manage and oversee the daily shipping schedule from the Norwood manufacturing site.
  • Collaborate with Norwood Logistics Operations to coordinate the shipping schedule to endure timely pack out.
  • Point of contact to schedule and coordinate international and domestic shipments, including pick up, transportation, customs clearance, delivery, and customer service, which may occasionally require evening and weekend work.
  • Ensure that the designated couriers, IOR and other partners are aware of upcoming shipments.
  • Work cross functionally with Supply Chain - Planning, Manufacturing, Quality Assurance, Norwood Logistics, and other parties to make sure shipments meet the target delivery dates.
  • Represent the Distribution & Logistics team in specific meetings.
  • Work daily within the internal shipping tools and collaborate with Finance, Quality Assurance and Trade Compliance to ensure that all the necessary documentation and information can be produced accurately to proceed with the greenlight ("ready to ship") process from our internal and external partners.
  • Own the completion of shipping documents, including commercial invoices, bills of lading, and submit them to the courier and IOR partners for review and approval.
  • Being able to pivot fearlessly and act with urgency to work with Norwood Operations, Material Planning, Quality Assurance, couriers and IOR partners when target shipping dates are at risk, as shipments are time sensitive.
  • Completes all necessary SAP transactions related to the lifecycle of a shipment.
  • Completing all temperature data reviews, retrieve receipt forms and conduct POD transactions as necessary to complete the shipping process.
  • Oversee the record retention process for the Supply Chain, Distribution and Logistics of the Americas team.
  • Utilize Veeva to support operational actions, including deviation investigations, CAPA actions, Change Control actions and process improvements.
  • Supports the revisions of SOW, Lane Mappings (Planner Playbook), SOPs, Work Instruction, and forms, as well as other necessary updates.
  • Ensures prompt response and follow up to all support requests related to shipments daily.
  • Identifies gaps and initiates Veeva document change controls to facilitate procedural improvements.
  • Support the business with ad-hoc tasks and projects to meet evolving business requirements.
  • Support end to end shipping concept
  • Additional duties as may be assigned from time to time
Here's What You'll Need (Minimum Qualifications)
  • Bachelor's Degree with 4-5 years of experience in Global Logistics
Here's What You'll Bring to the Table (Preferred Qualifications)
  • Preferred bachelor's degree in Supply Chain/Logistics or Business Management.
  • Strong preference for experience in international distribution within the Pharmaceutical and Biotech industries, especially within a clinical trial.
  • Experience working in a cGMP and cGDP environment with a solid understanding of the Pharma industry and Supply Chain.
  • Prior experience with personalized drug distribution is a significant plus.
  • Strong multitasking abilities, time management skills and a result driven mindset.
  • Problem solving skills and the ability to develop effective solutions.
  • Attention to detail and a focus on delivering high-quality work.
  • Thorough understanding and knowledge of international and domestic transportation operations, as well as import / export customs handling.
  • Strong work ethic with the ability to independently see tasks through to completion.
  • Excellent verbal and written communication skills.
  • Previous experience with SAP or a related ERP system is required.
  • Proficiency in SmartSheets and MS Office.
  • Previous experience with TMS or WMS in preferred.
