Job Details
The position is up to 15 hours per week. Candidates must be available for at least two Saturdays a month and to fill in for vacations and call-outs as needed. The Won Institute of Graduate Studies is a unique educational center that offers degrees in Acupuncture, Chinese Herbal Medicine, and Won Buddhist Studies. In addition, it provides an array of programs for the public: meditation, religious studies, nutrition, health, stress reduction, and continuing education.
All clinic receptionists must sign and abide by confidentiality agreements and HIPAA & OSHA standards. The position requires a background check. An associate's degree is required. A high school diploma with five years of experience in customer service and/or clinical reception will be considered. This position reports to the Administrative Assistant.
Responsibilities:
* Creating appointments for several clinics, including appointment reminders, follow-ups, and edits on Google Calendar.
* Answering & checking phone messages of clinic and Institute phone lines and effectively directing/screening calls to the appropriate department
* Answering & checking clinic emails in an efficient and timely manner
* Forwarding institutional emails to the appropriate department
* Receiving & delivering Institute postal mail & packages
* Making copies of clinic paperwork as needed
* Coordination & tracking of events
* Collecting and recording daily finances for clinics and events
* Aid patients, students, staff/faculty, and guests with checking out clinic retail items and Won Shop items
* Provide training, as needed, to students using the Google calendar for appts
* Preparing Extended Acupuncture Receipts for patient reimbursement, documentation, & insurance companies
* Must be trained in and abide by FERPA, HIPAA, OSHA, and Title IX requirement
Personal Skills:
* Excellent verbal and written communication skills
* Strong organizational and multitasking abilities
* Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
* Proficient with Google Suite (Docs, Sheets, Slides)
* Attention to detail and accuracy in data entry and proofreading
* Ability to work independently with minimal supervision
* Strong customer service skills with a friendly and professional demeanor
* Integrity: highest standard of discretion and maintaining confidentiality
* Demeanor: clear and slow speaking voice, articulate, pleasant, patient, helpful, precise
* Flexible; ability to gracefully shift from one activity to another when asked
* Good follow through; finishing tasks after interruptions
* Ability to work with several different people who may be directing reception activities
