A Brief Overview
Coordinates the daily office functions to support Case Management and Social Work staff by accurately preparing necessary information, maintaining file systems and assisting with all office procedures in a timely fashion. Coordinate the computer information systems to ensure accurate data is maintained.

What will you do?

  • Plans and coordinates office activities and performs administrative/secretarial activities. Handles administrative matters in accordance with established timeframes and guidelines. Ensures confidentiality of information. * Acts as administrative support to departmental staff * Receives CMNs (Certificate of Medical Necessity) from home health agencies and durable medical equipment companies to obtain authorization for requested services. Ensures that required information is correct and ensures that appropriate signatures have been obtained. Responsible for ensuring that homecare initial hospital orders are signed by the appropriate physician and returned within a timely manner to the appropriate community agency. * Works collaboratively with the Case Managers and Social Workers in discharge planning to find the most appropriate level for long-term care. Keeps staff abreast of status regarding approval/denials for long term care. * Ensures that the Resource Directory is updated, and Social Workers are kept knowledgeable of additional community resources. * Forwards insurance verifications to assigned case manager. * Submits inpatient lists to applicable managed care organizations daily. * Performs data entry. * Prepares statistical data each month. * Takes minutes and maintains notebooks of all staff meetings. * Processes and maintains time and attendance records for departmental staff.
  • Performs departmental specific tasks to support managerial and administrative staff as required for efficient operation of the department. Offers further assistance as requested in assuring appropriate support of a patient's admission, discharge and follow-up.
  • Interacts and works collaboratively with patient/family/hospital staff and outside representatives or agencies in a customer responsive and courteous manner, in compliance with iRESPECT standards and promoting patient/customer satisfaction.
  • Maintains confidentiality of patient, department and/or hospital information. Adheres to established department and organization policies in releasing patient information (i.e. HIPAA, Confidentiality, and Compliance Policies).
  • Reviews and verifies forms, reports and documents for accuracy and completion. Forwards, we completed documents to applicable departments and external organizations.
  • Compiles and prepares various reports and data, collates and assembles reports and documents as required. Utilizes computer to enter and format data, generate statistics, computations, tables, or charts.
  • Coordinates inventory control activities (including requisitioning, purchasing, and distribution to maintain department supplies and materials utilizing cost-effective measures.
  • Prepares and maintains required statistics, records, files and reports for operational, administrative, and compliance purposes.
  • Provides research and administrative support to special projects, preparing data, reports, and follow-up on projects.
  • Completions required continuous training and education, including department-specific requirements.

Qualifications
  • Associate's Degree or equivalent education/experience in business, office administration or related field Required
  • Minimum 2 years experience administrative or office experience or equivalent education/experience, preferably in a healthcare organization Required
