Versant Capital Management is seeking a skilled and organized Executive Assistant to join our multi-family office, wealth management, and investment firm. As a key team member, you will provide proactive, comprehensive support in our Phoenix office. As an Executive Assistant, you will play a role in facilitating the smooth functioning of the office and ensuring efficient coordination between various departments, clients, and vendors. The role calls for attention to detail, professionalism, and the ability to handle sensitive information with discretion. FOCUS AREAS


Calendar Management: Proactively maintain and manage your team s schedule, including meetings, appointments, and occasional travel arrangements. Coordinate with internal and external stakeholders to ensure optimal time management.


Communication and Correspondence: Handle incoming communications, including emails, calls, and messages. Draft and prepare correspondences, presentations, and reports as required.


Meeting Coordination: Organize and prepare materials for client meetings. Attend meetings, take minutes, and distribute relevant information to stakeholders. Ensure follow-up on action items and deadlines.


Travel Arrangements: Plan and coordinate travel logistics, as necessary, including flights, accommodation, and ground transportation. Anticipate travel needs and provide necessary information and support.


Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.


Relationship Management: Foster positive working relationships with internal and external stakeholders, including executives, clients, and business partners.


Document Management: Maintain and organize electronic and physical files, ensuring easy retrieval of important documents.


Special Projects: Support your team in various special projects, research, and initiatives, contributing to the organization's overall success.


QUALIFICATIONS


Education: Minimum of an associate degree, but a bachelor's degree is preferred.


Proven Experience: A minimum of 5+ years of previous experience as an Executive Assistant or in a similar administrative role is preferred. Financial industry experience is a plus but not required.


Organizational Skills: Exceptional organizational and time-management abilities to handle multiple tasks efficiently.


Communication Skills: Excellent written and verbal communication skills, with a keen eye for detail.


Proactivity: Demonstrate initiative and the ability to anticipate needs, taking proactive actions to address them.


Discretion: Uphold the highest level of confidentiality when dealing with sensitive information.


Adaptability: Ability to work in a fast-paced environment and adapt to changing priorities.


Problem-Solving: Strong problem-solving skills with the ability to find practical solutions to challenges.


Technology Proficiency: Familiarity with productivity tools such as Microsoft Office Suite and proficiency in calendar and email management.


Professionalism: Exhibit a high level of professionalism, integrity, and ethics in all interactions.


Teamwork: Able to work well with all levels of the firm and with clients from time to time.
