Competitions Senior Coordinator


Job Details

Responsibilities:

1. Event Planning and Coordination:

- Collaborate with the Head of Competitions to develop event concepts, themes, and formats.

- Plan and coordinate all logistical aspects of events, including securing venues and developing comprehensive event timelines and production schedules to ensure smooth execution.

- Liaise with vendors, suppliers, and service providers to negotiate contracts and ensure timely delivery of services and products.

- Coordinate with local authorities and obtain necessary permits and licenses for events.

- Implement and maintain an up-to-date database of contact information for all participating National Federations, including key staff from the National Federation or affiliated Clubs.


2. Participant and Team Coordination:

- Manage participant registration processes, including registration systems and procedures.

- Communicate event details, schedules, and rules to National Federations and assist in resolving inquiries and issues.

- Coordinate teams' schedules, game fixtures, and practice sessions, ensuring fair play and optimal resource utilization.


3. Strategic Implementations and Analysis:

- Assist in developing manuals, implementing marketing strategies, and conducting strategic analysis to generate awareness and interest in basketball events.

- Create compelling event materials, such as brochures, posters, and online content, to effectively communicate event details and maintain a consistent flow of communication with other departments and external stakeholders (i.e., HNA, Event Manuals).

- Coordinate travel needs and requirements with the Referee Department, Events Department, and Youth Development to ensure smooth operations during events and seamless communication.

- Keep accurate records of competition deliveries and maintain an inventory of basketball equipment.

- Assist in Budget Preparations and Tracking (i.e., Events Payment)


4. On-Site Event Execution:

- Oversee event setup, including signage, branding, and equipment placement, to ensure a professional and welcoming atmosphere.

- Manage event staff, volunteers, and contractors, delegating tasks and providing guidance as needed.

- Conduct pre-event briefings and walkthroughs with staff, delegations and volunteers to ensure understanding of roles and responsibilities.

- Monitor event operations throughout events, addressing any issues or concerns promptly and effectively.

- Coordinate award ceremonies and other special activities during events, ensuring a positive experience for all participants.


5. Evaluation and Reporting:

- Conduct post-event evaluations to assess event success, gather feedback from participants, sponsors, and stakeholders, and identify areas for improvement.

- Prepare post-event reports summarizing key metrics, attendance figures, financial performance, and feedback received.

- Analyze event data and insights to inform future event planning and strategy.

- Maintain event records, documentation, and archives for reference and compliance purposes.

- Provide recommendations for future events, incorporating lessons learned and best practices to enhance the overall event experience.

Education, Experience & Personal Characteristics:

- Bachelor's degree in sports management, event management, or a related field (or equivalent experience).

- Leadership qualities with the ability to motivate and coordinate teams effectively.

- Experience in event planning, coordination, and execution, preferably in the sports industry.

- Excellent organizational and time management skills, with the ability to manage multiple projects simultaneously.

- Exceptional communication and interpersonal skills, both written and verbal.

- Fully Bilingual - English and Spanish required, both spoken and written. Please note part of your interview will be conducted in Spanish.

- Strong leadership abilities with the capability to work effectively in a team environment.

- Proficiency in Microsoft Office Suite.

- Flexibility to work irregular hours, including evenings and weekends, as required by event schedules.

- Self-motivated, energetic, tenacious with a can-do attitude, willing to accept new challenges, find out-of-the-box solutions, and work without direct supervision.
