The Administrative Support Specialist is critical to maintaining organization and driving efficiency for our software support teams and our President of Clearinghouse and Electronic Services.

Essential Duties

  • Act as central coordinator and liaison between senior leadership and other departments, developing positive relationships across the organization
  • Assist with presentation materials, proposals, and deliverables including creating presentations and proofing documentation
  • Assist with incoming support and system requests, including researching and tracking payer connections; assigning support tickets daily to designated support representatives; updating external websites as needed
  • Understand customer needs and setup requirements based on account types (i.e. physician group, surgery center, lab, etc.), number of Tax ID s, NPIs, mix of payers, etc.
  • Ensure registration is received and completed thoroughly and in a timely manner
  • Maintain tracking of payer enrollment registrations
  • Maintain tracking of code lists utilized within client applications
  • Work alongside marketing to complete client communications
  • Manage office communications with outside vendors
  • Generate, monitor, and follow up on EDI agreements meeting specific implementation deadlines.
  • Monitor accounts for rejections or issues specific to enrollment related items throughout the client s implementation
  • Follow documented HIPAA security procedures related to Protected Health Information (PHI) and financial information
  • Willingness to work a variety of assignments and contribute where necessary
  • Other duties as assigned

Education and/or Experience Needed

  • Associates degree or higher preferred
  • 2+ years direct administrative support experience required
  • Working knowledge of medical billing a plus
  • Healthcare EDI enrollment process a plus

Qualifications You Must Have

  • Clear and effective communicator with excellent verbal and written skills.
  • Strong Microsoft Office skills including Word, Excel, PowerPoint, Teams and Outlook
  • Ability to prioritize, work independently, and manage multiple simultaneous assignments and a broad scope of responsibilities
  • Experience with planning, preparing, and anticipating needs for management to ensure effective and productive meetings
  • Demonstrated attention to detail and organizational skills
  • Ability to meet deadlines with a strong sense of urgency
  • Excellent troubleshooting and analytical skills
  • Self-motivated with the ability to multitask and work independently as well as in a team setting
  • Stable work history
