Position Summary


Provide day-to-day assistance and administrative support to the Senior Vice President (SVP) of Resource Development, as well as departmental coordination and support to the department. Support and administrative responsibilities include but are not limited to the following responsibilities.


Responsibilities


Senior VP of Resource Development Support:

  • administrative support to SVP of Resource Development including assistance with correspondence, meeting preparation/follow-up, scheduling, travel arrangements, invoiceprocessing and expensereporting, maintaining file systems, management calendar and contacts, presentation preparation, and distribution of materials and other duties as requested.
  • with communications for external and internal inquiries and requests for information related to fundraising and volunteer engagement.
  • collaboratively with and act as a liaison between other departments in executing administrative processes related to SVP of RD, as well as serving on internal committees.
  • in the planning, coordination, and management of departmental staff meetings.


Special Projects Support


Assist with projects and other special assignments, for the department as needed.

Provide coordination and communication to collaborate interdepartmentally, regarding project deadlines, logistics, collecting data, and other pertinent information regarding the project.


Departmental Support:


  • logistical support for large and small meetings, including working with caterers, reserving facilities, setting up meetings, taking minutes, mailing invitations, managing mailing lists, and managing registration and other on-site logistical activities.
  • processing of office supplies, ordering food, and any purchases made on departmental purchase cards.
  • Resource Development department calendar and mailbox.
  • coordinate, review and manage department procedures related to budgets, hiring and onboarding, cross-departmental requests, and other areas as identified.
  • guidance and support to a team of administrative assistants within Resource Development.
  • with administrative team to coordinate departmental duties, activities, and outings.

Ability to demonstrate professionalism when working with external donors/customers at all times.

Ability to prioritize, effectively organize time, multitask, and work under pressure.

Self-starting capability to assist in planning for the Senior VP of Resource Development

Excellent project management, organizational skills are critical

Strong computer skills in the Microsoft environment including Outlook, Word, and Excel. Strong database skills helpful.

Strong communication skills, both verbal and written, including proofreading.

Be self-directed with ability to make judgements and function independently, working effectively under minimal supervision by taking initiative and ensuring successful and timely completion of all tasks

Ability to manage multiple competing tasks on a deadline while maintaining high-quality work

Sound judgment in handling confidential information.

Works well in a collaborative, team environment.

Attention to detail, proactive, and a strong work ethic.

Consistently exhibits professional conduct, highly customer service oriented.

Interest in philanthropy is desirable.


Education

Minimum High School Diploma required. Associate degree preferred.


Experience

Minimum five years professional administrative work experience.

Familiarity with nonprofit operations, fundraising, and/or donor relations preferred.

Experience working with boards or other governing entities preferred.

Demonstrated success with managing administrative projects.

Demonstrated professionalism, tact, diplomacy, and flexibility in interacting with others.

Demonstrated ability to use the Microsoft suite of applications (Outlook, Excel, and Word).


Other:

Must have valid driver s license, reliable transportation, and proof of automobile insurance.

Must have a valid driver s license, reliable transportation, proof of automobile insurance commensurate with state law.

Must meet and maintain eligibility requirements to be insured by UWCA s insurance.

Flexible work hours with some after-hours work required.
