Job Details

CPA firm in Bellevue is seeking for a Administrative Assistant to join their team. If you love working in a fun, friendly, and collaborative environment, this is the position for you!

The ideal candidate will have some experience in administration, as these tasks will be most of the position s responsibilities, and an interest in learning more about the tax accounting business.


RESPONSIBILITIES

Tax Season Preparation

  • Tax organizer preparation, printing and mailing schedule tax appointments as requested
  • Assist in ordering tax season supplies
  • Prepare tax return engagement letters and update card file and due date list
  • Update transmittal letters, tax and extension guide sheets, and administrative forms
  • Ensure client addresses are consistent and accurate between programs


Tax Season

  • Take calls for appointment changes and post to Principal s Outlook calendar
  • Print and process tax returns
  • Process extensions; prepare if requested
  • Post and maintain due date cards and due date lists
  • Maintain tickler file for estimated tax payment reminder letters
  • E-File tax returns and extensions, and maintain release form binders
  • Maintain engagement letter spreadsheet, 1040 tax interview spreadsheet, cards, and receptionist s binder
  • Assist staff and Principals with assorted office-related tasks


Tax Season Follow-up

  • Prepare extension due date list and update weekly for client owners
  • Mail estimated tax payment reminder letters
  • Process assorted client projects as requested
  • Assist Principals with processing IRS notices
  • Fulfill client requests for tax return copies and information from file


Other Projects

  • Network backup three times per week
  • Format/type/print formal financial statements; spiral bind
  • Track lost clients and prepare for moving to storage
  • Assist in the set-up of new client files
  • Process client changes of information
  • Prepare annual newsletter under direction of Principals


Backup

  • Telephone and receptionist duties
  • Printer/copier meter reads
  • Check in client information as received
  • Sort/scan tax information as received
  • Update project tracking as required
  • Send out monthly newsletter to clients


QUALIFICATIONS

  • Business, Accounting, or Finance degree preferred, but not required
  • Prior administrative/office/customer service experience
  • Familiarity with Office 365 and Office Suite (outlook, word, and excel specifically)
  • Must be detail-oriented and good with numbers
  • Must be willing to work overtime and weekends as needed during busy tax season months
  • Team player with exceptional interpersonal and communication skills, ability to effect change and obtain required accounting information while maintaining productive business relationships
  • Continuous improvement attitude
  • Ability to schedule time effectively to meet deadlines
  • Significant organizational skills
  • Interest in long term employment with firm
