A well-known Global Private Equity Firm in Midtown Manhattan is seeking a new Full-Time / Permanent Executive Administrative Assistant to join one of its growing divisions! Candidates must have a minimum of 7+ years of applicable high-level executive administrative experience supporting a team / multiple executives, ideally within financial services, and a Bachelor s degree is required. Ideal candidates should be polished and professional, team and task-oriented, with a great attitude and strong attention to detail. Experience with heavy calendar management and travel coordination is also a must. This is an incredibly prestigious firm with an amazing reputation and a collaborative environment!


  • Salary depends on experience (90-110k base), plus built in paid overtime (1 hour of built in paid overtime daily approx. 12-15k) and discretionary bonus eligibility (target 20-25k), GREAT benefits, catered lunch, etc.
  • Hours are 9:00am-6:00pm. Hybrid work schedule (4 days in office, 1 remote).



Responsibilities:


  • Schedule and organize meetings, conferences, and off-sites, including all related logistics/materials; proactively address conflicts and exercise strong judgment based on priorities, seeking guidance as needed.
  • Prepare materials for meetings; track and confirm attendance.
  • Coordinate complex domestic and international travel arrangements and detailed itineraries; obtain necessary travel documents and visa coordination.
  • Screen and answer a large volume of incoming calls; meet and greet guests in a professional and courteous manner.
  • Establish, develop, maintain, and update e-filing system.
  • Update and maintain DealCloud with relevant meetings.
  • Allocate and process expenses for executive(s), including American Express and Out of Pocket expenses, using the Concur expense management system by published deadlines.
  • Compose strategic communications such as letters, memos, invitations, agendas, and correspondence related to all projects and on behalf of executives. Edit for accuracy and clarity of final copy; proofread for spelling, grammar, format for consistency, and make the appropriate changes.
  • Plan off-site team events, including all related logistics, budgeting, and expense processing.
  • Process and code invoices; identify and implement process improvements.
  • Coordinate closely with team and other assistants to provide phone coverage and back-up assistance.
  • Handle all coordination and logistics for recruiting new employees for the team.
  • Use US Mail, FedEx, and other services to send and track priority mail.
  • Perform other related general administrative and project-based tasks as assigned/required.
  • Be available to check and respond to occasional after-hours correspondence.


Required Qualifications:


  • Minimum 7+ years of applicable high-level executive administrative experience supporting a team/multiple executives, ideally within financial services (hedge fund, private equity, asset management, etc.).
  • A Bachelor s Degree is strongly preferred/required.
  • Polished and professional.
  • Extremely organized, with strong attention to detail.
  • Team and task-oriented.
  • Positive, teamwork mentality.
  • Ability to thrive in a fast-paced and rigorous work environment.
  • Demonstrated ability to prioritize competing demands and meet deadlines.
