Job Summary:

Provides administrative and clerical support for a maintenance, repair and or operations section. Duties include; but are not limited to: data entry into the GFEBS and personal computer systems; sorting, distributing, collecting and the closing out of service/work orders received from and processed by the resource planning branch. Using standard and repetitive procedures provided by the Section Supervisor, records information that allows supervisor to trach and determine the status of service orders/work orders; based on information provided by the craftsmen. May prepare purchase requisitions and verify the status of material requisition, answer telephone and radio communication equipment. Deals with customers to provide job status, schedule appointments and provide other administrative information. Performs general administrative functions such as typing, filing, and scheduling appointments. May maintain section's tool logs by recording the issue and receipt of tools to and from craftsman, may count office equipment and tools in support of section inventories.

Responsibilities

Job Responsibilities:

  • Perform date entry/retrieval using the GFEBS systems and personal computer system for a variety of requirements. Uses these systems to compile, sort, retrieve and sort data. Required to enter employee timekeeping data, validate the data as entered correctly, and submit to Supervisor for approval and validation. May assist with additional section time entries as required.
  • Records/ Enters data as prescribed by the Section Supervisor, that allows the supervisor to manage the flow of service orders/work orders to include their receipt and distribution to Section supervisors or Lead personnel for work assignment and prioritization. Distribution to craftsmen for work accomplishments. Collects completed Service/ work orders and enters data required to closeout the completed work in GFEBS systems. Verifies work order information for craftsmen as required.
  • Based on description and nomenclature furnished by the supervisors or craftsmen, uses the GFEBS systems or direct communications with Material control and purchasing. Verify the status of material requisition, availability of parts, materials, and supplies.
  • Answers telephones, interacts in a positive and cooperative manner with customer/callers. Provides service orders/ work orders status information. Receives messages and relays to proper personnel. Uses the 2-way radio systems and pagers to communicate with craftsmen.
  • Provides general administrative support to Section Supervisor, including typing, word processing, and filing.
  • May provide similar support to other branches upon direction from Supervisor. Performs other related non-exempt duties as requested or assigned.
  • May be required to sign in/out and maintain log of tools issued to craftsmen.
  • Distribute service/work orders received from the Resource planning branch to craftsmen based on craft required to perform work and or the craftsmen's geographical area of assignment as directed by the Section Supervisor.
  • Accountable For:
  • Accountable to the Section Supervisor who provides directions and instructions and works from established operating procedures, government regulations and company directives.
  • Authorities and Limitations of Authority:
  • Has authority to accomplish duties described here in accordance with corporate procedures, Standard Operating Procedures, and applicable Army regulations requirements.

Minimum Qualifications
  • High School graduate or equivalent.
  • Requires one-year general clerical experience in commercial environment.
  • Requires one year experience with Microsoft Word/Excel.
