Guardian Management has an opportunity for a Part Time Office Assistant to join our committed team at Oakmont!

Oakmont is a conventional apartment community in Tigard, OR with 125 units.

The Office Assistant s primary purpose is to support the area Community Manager s efforts to ensure that the property meets all ownership goals and objectives, to enforce Guardian Management policies and procedures, and to adhere to Fair Housing and Landlord Tenant Laws at all times. An Office Assistant is responsible for providing outstanding customer service to the residents, coordinating communication between departments and between residents and Community Manager, and assist Maintenance with special projects. The Office Assistant will regularly work indoors and outdoors year-round, will clean facility common areas and residential apartments as needed at turnover and other areas as needed by community manager.

For this position, we need a dynamic self-starter who enjoys working with others and excels in a fast-paced office environment. The ideal candidate will be highly organized, professional and communicative. Must have a minimum of one (1) year of customer service experience and excellent interpersonal skills. Previous multifamily property management experience, strongly preferred.

Schedule: 28 hours/week, 3.5 days/week.

Qualification Requirements:

  • High school diploma or GED.
  • At least one year of experience working in customer service, sales, marketing or a college degree in a related field.
  • Excellent attention to detail and organizational skills.
  • Strong mathematical skills.
  • Ability to speak, read and write in English.
  • Ability to communicate effectively and in a timely manner; both verbally and in writing.
  • Able to complete company training requirements for this position within pre-determined deadlines and attend other training sessions as required.
  • Previous cleaning or janitorial experience, a plus.
Essential Functions:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily with or without reasonable accommodations.
  • Represent Guardian in a positive and professional manner at all times.
  • Support Community Manager s efforts to assure that the company s efforts fully meet and exceed property management obligations.
  • Work in compliance with all local, state, and federal laws (Fair Housing, Landlord Tenant Laws, OSHA, etc).
  • Coordinate communication between all various departmental functions ensuring an efficient flow of operations and compliance.
  • Interacting and assisting with residents: recording work orders, referring questions/requests to appropriate administrative person or department.
  • Walk building to assume security, lock doors & close office in evening or as needed by community manager.
  • Walk property grounds daily to ensure grounds are clean and property has excellent curb appeal.
  • Walk common areas daily, clean and maintain all common areas.
  • Maintain common areas, entryways and dumpster/recycling areas.
  • Alert supervisor of any potential liabilities or repairs. Identify property problems and repairs needed in the areas of structural, electrical, plumbing, and appliances.
  • Under the direction of the Community Manager or Maintenance Supervisor and (if applicable) with the assistance of other Maintenance Staff, respond to all service requests and complete all Work Orders and assist with Apartment Turnovers in a timely and professional manner in accordance with Guardian s policies and procedures.
  • Under direction of the Community Manager, assist as back-up for tours, marketing, and some social events.
  • Assist with basic maintenance tasks (toilet flow, cleaning, recycling, etc.) as necessary during off-peak times.
  • Follow confidentiality guidelines for all resident, property, owner, and Guardian information at all times.
  • Accurately record time worked, adhere to time keeping guidelines including approving site staff time records on a daily basis.
  • Establish and maintain collaborative working relationships between departments and with coworkers.
  • Constantly strive for improvements in work process and results to better meet resident needs, ownership goals and objectives, and company standards and expectations.
