JOB DESCRIPTION

Responsible or handling all incoming office telephone calls. Properly transferring and staging calls to insure that the correct individual answers them in an appropriate amount of time. Make sure that messages are correctly recorded if an employee is unavailable or absent. Receptionist must maintain a high level of confidentially regarding employee activities.

Act as cashier for the company:

  • Taking money for cash tickets and in accounts
  • Perform all credit card transactions
  • Giving accurate change to customers and employees
  • Keeping receipts for all petty cash given out and any misc. cash taken in and reimbursing weekly.
  • Maintaining both cash boxes daily; keeping an adequate amount of small bills and change available for parts and service.


ESSENTIAL JOB TASKS:

Customer Service is the most important responsibility.

  • Responsible for opening cashier's window promptly at 8:00 a.m. and balancing both petty cash boxes from previous day's activities.
  • Prepare bank deposit for all cash and checks received and prepare the cash receipt voucher for posting.
  • Monitor and purchase office supplies inventory.
  • Responsible for preparing mail daily for the post office and inter-office mail between stores.
  • Monitor incoming and outgoing faxes. Make sure that all messages are delivered immediately.
  • Process tax exempt and W-9's and tracking
  • Cash reconciliation.
  • Responsible for the filing of all A/R copies for statements.
  • Bill and collect all temporary and misc. accounts, reporting problem accounts to the general manager.
  • Perform misc. tasks for all supervisors and salesmen pertaining to company business, typing, mailing, etc.


EDUCATIONAL REQUIREMENTS

Minimum high school diploma required. Any additional courses in office procedures or accounting favorable bur not required.

WORK EXPERIENCE

Minimum two years experience in an accounting office acting as receptionist with heavy experience with a multi-line telephone. Typing and some computer experience required.
