Elite international law firm is seeking a Legal Secretary to support a group of IP Litigation attorneys.


Primary Responsibilities

  • Candidate will effectively support attorneys in preparing for depositions, arbitrations, mediations, and trials.
  • Provides administrative support to assigned legal team by ensuring the organization of workflow, files and recordkeeping, including preparation of timesheets and client bills, expense reports, and the processing of incoming and outgoing mail and overnight deliveries.
  • Strong technical skills needed to prepare and edit legal documents and handle filings with proficiency.
  • Assists in organizing work schedule by maintaining calendar, scheduling appointments and coordinating travel arrangements.
  • Ability to perform a variety of executive administrative duties such as calendar management, coordinating meetings, answering phones and emails, following up and keeping track of tasks and projects, arranging travel, opening new matters, typing correspondence, proofreading documents, pleadings, and briefs, inputting attorneys' time, prepare expense reports, assist with business development activities, etc.
  • Top-notch communication skills, poise, and professionalism vital for interaction with clients and various levels of legal staff.
  • Seeking a proactive, resourceful legal secretary to help identify potential issues and ensure the IP litigation team is well-prepared to provide unmatched client service.
  • Ideal candidate will be a contributing team member who can manage multiple projects and priorities.
  • Meeting filing deadlines and being aware of the procedures for same (as applicable).
  • Proactively supports Firm-wide client service initiatives. Provides quality service to internal departments and external parties by interacting professionally and displaying a can do attitude via electronic and print correspondence, when answering telephone calls, taking and relaying messages, and greeting visitors; coordinating attorney, client, or other inquiries in the absence of the attorney.


Qualifications:

  • Successful candidate will have 5+ years of legal secretarial experience with a solid understanding of litigation. Intellectual Property experience is a plus.
  • Advanced-level computer skills required including proficiency in MS Office and Adobe Acrobat.
  • Knowledge in NetDocs, Intapp Time, and Chrome River a plus.
  • Bachelor s degree preferred.
