Description
Basic Function
Learning coordination for New Franchisee Training class including virtual session scheduling, classroom scheduling, prep and set up before, during and after both virtual and classroom training. Communication with class attendees via email, phone and in person. Organize, order, and arrange training materials and supplies for classes. Coordination of class meals, transportation, travel dates, etc. Organize and coordinate volunteers for class sessions. Producer on virtual sessions responsible for taking attendance, uploading links, monitoring incoming questions, etc. Create and maintain annual training calendar of new franchisee training classes, including important cut-off dates and other relative dates.
Typical Requirements
Requirements include strong written and verbal communication skills, moderate to advanced level skills in MS Word and Excel; beginner to moderate level skills in PowerPoint, experience with Zoom and Teams preferred. Must be a self-starter, a team player, able to multi-task with accuracy, flexible to change and constant interruptions, extremely organized and detail oriented. Strong customer service skills required.
Essential Functions
Classroom Scheduling Act as a liaison between Events and Travel and Express University. Coordinate travel dates, flight, shuttle, and hotel plans. Coordinate meals for all class days and evening activities. Work with the Franchise Sales Team and Franchise System Support Team to organize and schedule new franchisees for training.
Classroom Management Set up of the classroom including tables and chairs, all desktop items, computer labs, printed materials, roleplay and practice session supplies, etc. Stock of classroom snacks and coffee daily for class. Clean up of classroom at the end of class.
Learning Management System - Documentation and tracking of available training seats for new franchisees within the learning management system. Enrollment of new franchisee class attendees in curriculum in the learning management system. Maintaining records of class completion for new franchisee training in the learning management system. Utilization of LMS reporting.
Proofing Proofing of learning session materials and presentations for learning sessions at large company events and for new franchisee classroom sessions. Proofing is for grammatical and visual issues.
Virtual Classes Coordinate producer schedule for webinars; webinar producer responsibilities to include taking attendance, uploading handouts and links for attendees, placing attendees in breakout rooms, monitoring chat and responding to questions, and utilizing other Zoom classroom functions during virtual sessions.

Tasks are semi-routine or diversified, requiring judgment in the application of a wide range of established rules and procedures but within limits of standard practices.
Supervision: Received Given
Received: Specific direction with minimal supervision. Work alone on routine work, plan and prioritize own work and question phases of specific assignments per need. Supervisor gets involved in need-to-know situations to accomplish assigned objectives.
Accuracy, Accountability and Control
Probable errors would be due to carelessness in most instances and would be readily detected by standard check or routine cross-check. May affect or delay activities, progress and/or working time.
Contacts: Internal External
Contacts are made regularly with other departments, external customers and team members. Contacts are made with minimal supervision. Discretion must be exercised to assist all contacts in a professional and friendly manner to prevent breakdown of positive customer/team relations.
Specialized skill or Technical knowledge
Must be extremely organized and a detail-oriented self-starter. Must be able to multi-task accurately, adapting well to interruptions. Must have the ability to quickly shift gears in the event the daily schedule must be changed. Must be people oriented with excellent customer service skills. Must have advanced level skills in MS Word and Excel; beginner to moderate level skills in PowerPoint. Experience with Zoom or Teams desired. Familiar withAirtable or other similar project management databases a plus.
