Description

JOB BRIEF:

  • The Assistant Property Manager is to assist the Property Manager in effectively managing the assigned property. In the Property Manager's absence, the Assistant Property Manger will assume all responsibilities associated with accomplishing property objectives as set forth by the Vice President of Property Management. In addition, the position is directly responsible for maintaining daily, weekly, monthly and quarterly reports including accurate reporting of rents and deposits received.
FUNCTIONS OF THE JOB
  • Maintains all resident records. Updates on a daily basis all rents, deposits and application fees received from residents. Issue appropriate notices when necessary (e.g., late payments, eviction notices, returned check notices).
  • Updates reports concerning notices to vacate on a daily basis and provides information to the Manager.
  • Proof reads all lease paperwork and process move-ins and move-outs.
  • Organizes and files all applicable reports, leases and paperwork.
  • Process all security deposit move-out reports.
  • Involved in design and implementation of resident retention activities.
  • Responsible for contacting residents well in advance of their lease renewal date to secure a renewed lease.
  • Accepts service requests from residents and routes to maintenance for prompt processing. Conducts service follow-up with resident when work is completed.
  • Responsible for daily updating the service requests on the computer.
  • Delivers notices to residents.
  • Physically inspects property when on grounds, picks up litter and reports any service needs to manager or maintenance staff.
  • Will also inspect move-outs and vacancies when requested.
  • Answers and handles incoming phone calls from prospective residents, current residents, vendor/suppliers, etc.
  • Greets prospective residents, shows property and performs leasing duties as needed.
  • Maintains awareness of local market conditions and trends. Contributes ideas to Manager for marketing property and improving resident satisfaction.
  • Active in outreach marketing, and surveys of market competition.
  • Performs any additional duties assigned by Property Manager or Vice President of Property Management.
Scheduling:

The schedule is Monday through Friday, 8:30 a.m. to 5:30 p.m. Weekend and evening work is occasionally required. During times of emergencies, heavy work-loads or other company needs, there will be times when overtime is required.

Requirements
  • Basic computer knowledge and data entry experience including Yardi, Word, Excel and Outlook.
  • Familiar with billing and collection procedures
  • Be able to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate course of action.
  • Effectively convey ideas, images and goals to a diverse group of personalities verbally and in writing
Education and/or Experience:
  • 1 year of experience in property management with demonstrated personnel management skills and leadership ability.
  • Other business experience may be considered
