Job Summary: This pivotal role serves as a cornerstone in supporting the Fleet department at our Hauppauge, NY location, providing indispensable administrative assistance.

Responsibilities:

  • Obtain requisite approval signatures for requisitions and meticulously process them with PO/AP, ensuring seamless transactions.
  • Oversee the procurement and cancellation of EZ Passes, as well as the addition and removal of vehicles from both EZ Pass and WEX systems.
  • Efficiently collect, organize, and maintain all paperwork, encompassing timesheets, invoices, and more.
  • Monitor and ensure compliance with vehicle registration requirements.
  • Skillfully generate Equipment Rental Purchase Orders against existing POs.
  • Actively participate in weekly fleet meetings, contributing valuable insights and updates.
  • Provide adept support for Milwaukee One-Key operations.
  • Offer assistance to our 298 fleet with assorted tasks, demonstrating versatility and adaptability.
  • Manage FMCSA/OSCAR/HUT/IFTA requirements with precision and attention to detail.
  • Maintain a meticulous record of auction units and oversee related processes.
  • Expertly identify unit numbers on mail and assign them to respective PCs, facilitating streamlined management of traffic violations, registrations, toll by plate, and other matters.

Qualifications:

  • Associates Degree or higher.
  • Minimum of 2 years experience in administrative support and a fast paced environment.
  • Strong computer skills including web-based applications and MS Office (particularly Excel).
  • Must have strong analytical, organizational, verbal, written, and communications skills.
  • Must be highly motivated and self-directed.
  • Must be able to work on a team, with various partners from start to finish.
  • Viewpoint experience a plus.
  • Experience in Automotive or Fleet industry preferred
