We are a fast-growing medical device startup on a mission to develop a bioengineered implant to improve and expand the treatment of corneal blindness globally. With a new office located in the Inner Harbor of Baltimore, we are seeking a dynamic, results-oriented Executive Administrator to join and grow with our team to provide support to company leadership, manage cross-functional administrative projects, and perform administrative tasks across various company functions.


Role Overview

This is a full-time hybrid role for an an Executive Administrator at Pantheon Vision. You will play an integral role in supporting our ambitious mission to develop a pioneering bioengineered implant for the treatment of corneal blindness. Your contribution will go beyond traditional administrative tasks; you will be a pivotal part of our team, ensuring that our executive leadership is empowered to focus on strategic initiatives without administrative hurdles. This requires a highly organized, flexible, proactive, and team-oriented individual who is not only adept at managing the complexities of a dynamic office environment but also deeply committed to our core mission.

Key Responsibilities

  • Provide comprehensive administrative support to company executives and key consultants, including managing calendars, scheduling meetings, and handling correspondence.
  • Coordinate logistics for team meetings, events, and off-sites, including venue selection, attendee management, and technical setup.
  • Manage administrative aspects of company s fundraising efforts (preparation of pitch materials, documenting and tracking investor outreach through various tools, etc.)
  • Manage databases, including contracts with vendors and universities.
  • Act as a liaison between company leadership and external partners/vendors, ensuring seamless communication and coordination.
  • Assist in the preparation of presentation materials and reports for executive meetings and business reviews.
  • Manage travel arrangements for team, including booking flights, accommodations, and itineraries.
  • Oversee office supply inventory and place orders as necessary to ensure the office is well-stocked and organized.
  • Handle sensitive and confidential information with discretion and integrity.
  • Support various departments with administrative tasks as needed, demonstrating flexibility and a willingness to assist wherever required.


Qualifications

  • Proven experience as an Administrative Assistant, Executive Assistant and/or Project Manager (preferably within the scientific, medical device, or healthcare industries).
  • Exceptional organizational skills, attention to detail, and independent problem solving skills
  • Strong verbal and written communication abilities.
  • Ability to manage multiple tasks and priorities effectively in a high-paced, flexible environment.
  • Ability to coordinate and interact with team members and in-person and remote locations.
  • Must be highly proficient in Microsoft Office/Office 365 (especially Outlook, PowerPoint, Word, and Excel) and comfortable and efficient at learning new software and technologies.
  • Experience with virtual meeting platforms (e.g., Zoom, Teams) is required.
  • A high school diploma is required; a college degree or advanced education is highly preferred or currently in school for a college degree.
  • Experience working in startups and familiarity with the medical device industry is a plus.
  • Must reside within the state of Maryland.
