Overview:
The property management team is seeking a motivated individual who is eager to learn and grow with Wangard Partners. The ideal candidate is ready to contribute to the overall company performance. The assistant property manager (APM) will support the commercial team in all areas of management to include maintenance, tenant relations, collections, monthly reporting, annual budgets, risk management, property improvements, contract preparation, collection of certificates of insurance, and account payables. Primary Duties

  • Prepare and process service agreements and purchase orders. Assist in the creation of RFPs and review of proposals.
  • Administer monthly A/R collections policy and follow-up as directed.
  • Maintain/update Property Quick Start Guides for existing and new properties.
  • Ensure invoices are processed with appropriate backup and according to established company procedures.
  • Assist in managing maintenance work order system.
  • Work with maintenance team to schedule and confirm completion of requested maintenance services.
  • Prepare and administer tenant satisfaction surveys.
  • Assist property team with preparation and submittal of monthly variance reports and budgets and ensure all deadlines are met.
  • Collaborate with accounting team to research tenant questions with rent and open item statements.
  • Administer back end duties for tenant move in/out checklist in collaboration with PM's.
  • Assist PM's with property inspections and coordination of services for buildings with 3 rd party providers.
  • Assist PM's throughout the RFP process to obtain competitive bids for required maintenance or services.
  • Assist PM's coordinating tenant improvement and capital projects. Coordinate tenant special events in collaboration with PM.
  • Set up new vendor files and maintain existing files.
  • Maintain vendor and tenant COI's and follow up to ensure all COI's meet company standards.
  • Prepare incident reports as directed.
  • Assist with acquisition and disposition process as directed.
  • Assist with new employee onboarding process.
  • Follow all company and department policies and procedures.
  • Complete goal setting and goal setting check-ins.
Knowledge, Skills and Abilities
  • Interest in a long-term career in real estate.
  • Customer service experience required.
  • Microsoft Office proficiency required.
  • Ability to adapt to changing priorities and management styles.
  • Ability to communicate with tenants and coworkers in a professional manner.
  • Willing to develop problem-solving skills and a strong work ethic.
  • Able to work under pressure, including prioritizing competing demands and meet deadlines.
  • Able to establish systems to organize and handle workload.
  • Promote and foster positive working relationships with clients, tenants, co-workers, management, and corporate staff.
Professional Experience
Candidate must possess a minimum of two years of cumulative work experience.

Education
A college degree is suggested but not required. The position does require the ability to communicate effectively and professionally in English, and the ability to perform advanced business mathematical functions.

Physical Demands
Physical demands include the ability to lift up to 50 pounds. The employee will be regularly required to sit; stand; walk; reach using feet, legs, back, arms and hands; talk and hear. The employee may occasionally be required to climb. The employee will be required to work at a personal computer and talk on the phone for extended periods of time. Must possess the ability to detect auditory and/or visual alarms and be available to work extended/flexible hours and weekends, as needed.

Attendance/Travel
This position is a full time salaried position. This position requires the availability to work some nights, weekends, and occasional holidays. This position also requires regular attendance at company functions, training, and events.

Licenses/Equipment
A valid driver's license and current automobile insurance is required. Position requires individuals to furnish their own vehicle to fulfill all of the job's functions.
