Compensation- $46,800 Base Compensation

Responsibilities

What You'll Be Doing:

Client Services Coordinator is not just your job title in our firm, it's your mission: coordinate our team's delivery of holistic, empathetic, excellent client services for all our clients.

Your primary responsibilities will include:
Working at our law firm's front office reception desk and warmly greeting and welcoming visitors into our office space so they feel comfortable and at ease
Answering incoming calls and making outgoing calls to prospective, current, and returning clients seeking assistance
Listening carefully with empathy for what callers are really asking and helping them with tact to learn about how we can best help them
Answering questions from prospective clients to ensure they understand enough to make well-informed decisions, and confidently addressing any potential concerns they may have, including comfortably discussing their investments of time and money in seeking our professional services & helping prospective new clients schedule and pay for initial consultations for highly personalized, specific legal advice about their matters or limited scope legal service packages
Strategically scheduling a variety of client meetings to ensure sufficient "behind the scenes" production time and advance preparation and minimizing scheduling conflicts
Documenting communications and assigning tasks for follow-up in our Client Relationship Management software program so everyone on our team knows exactly where things stand at any given time while maintaining the highest standards of confidentiality & noting all our client's family and professional advisor relationships and important dates so we can quickly recall them when needed
Keeping your finger on the firm's pulse by observing & reporting back on feedback we receive to help maintain & protect our firm's goodwill and reputation and make suggestions for continual improvement in the delivery of our professional services

You will never be bored! This is a very people-oriented position and a service business. Our workdays are punctuated with client messages, calls, office visits, scheduled meetings, and scheduling changes, so it's never exactly the same day twice.

Qualifications

The Skills, Experience, & Qualifications You Need to Thrive in this Role:
Associate's Degree or Bachelor of Arts or Bachelor of Science degree required
Prior experience working in client reception, client relations, or consultative sales within a professional legal or financial services office is strongly preferred
Experience or aptitude to quickly learn to use: Macs and Apple devices, Microsoft Office Suite, Adobe Pro, Google Calendar and Gmail, & Slack
Excellent written and spoken communication skills, including spelling, grammar, and the ability to clearly communicate complex ideas simply and professionally to a wide variety of people of varying educational levels and personal and professional experiences to help them understand how we can help them, what they can expect of us, what they need to do next, and the status of their matters
Strong organizational skills to keep track of important details, upcoming appointments, and deadlines, and required follow-up tasks
Prior legal experience of some kind, such as working in a law firm, for a foundational background regarding professional ethical obligations around client confidentiality, and basic familiarity with foundational terminology and core concepts about wills, trusts, and estates strongly preferred
Natural empathy and easy ability to connect on a personal level
