**Front Desk Reception/Administrative Assistant - Full Time**

**Hours: Mon-Fri; 8am - 4pm (on site)**

**Hourly rate: $16/hr**

**Responsibilities**

The Administrative Assistant will report to the Direct of Human Resources and be the first point of contact for all phone inquiries, guest arrivals and responsible providing clerical office, and daily operational support for the Administration Team. (Human Resources, Financial Services and Development)

**Education/Training** **:** High School Diploma

**Skill(s):**

* **Working knowledge of all office equipment and software packages including Microsoft Word, PowerPoint, Outlook and Excel.**

* **Scanning and indexing documents**

* **Pleasant phone voice and a welcoming demeanor.**

* **Must be able to work independently and on a team**

* **Excellent interpersonal and communication skills is a must!**

**Requirements/Experience:**

* **A minimum of 2 years' experience in general office experience or specialized training preferred.**

* **Prior front desk reception experience with use of security camera**

* **Must be able to give direction to visitors and arriving staff at all times.**

* **Must be able to complete and pass a drug screen and criminal background check.**

* **Must be able to sit at a desk with desk computer for up to 8 hours.**

**Essential Duties**

* Provides clerical and secretarial support, including word processing and filing for the Administrative Team and all divisions within the agency.

* Handles all incoming phone calls and greets all guests for the agency.

* Prepares overnight packages for pick-up etc.

* Prepares all agency employee cards (birthday, anniversary, etc.) for mailing monthly.

* Prepares certified mail for agency.

* Assists with Conference Room scheduling using Outlook calendar.

* Process mail for entire agency and handles mail distribution.

* Prepares new hire packets to make sure all forms are up to date.

* Responsible for ordering/purchasing office supplies and PPE equipment for all departments

* Maintaining inventory levels and communicating with vendors

* Coordinate HR Special Events and Activities which may include but is not limited to making flyers, ordering supplies, and participating in the activity.

* Operates general and specialized office equipment including computer, copy machine, Mail meter, folding machine, etc.

* Handles all BHS scanning.

* Assist with scanning termination files.
