My client, who is a well-know global beauty company, is currently looking for a freelance, hybrid Temporary Administrative Assistant to help backfill when needed.

This Per-Diem admin Position reports to Senior Vice President, Brand Cluster Finance. Also supports VP, Chief of Staff and VP, Portfolio Strategy. Brand Cluster covers 10 global brands across 150+ countries.


  • Strategically manage calendars for three Brand Cluster executives.
  • Heavy meeting scheduling primarily with internal attendees. Works closely with C-suite and other senior executive assistants to coordinate and prioritize meetings.
  • Manage all meeting details for exec-owned meetings, inclusive of departmental offsites: confirm attendees and presenters, prepare room/venue and A/V equipment, organize catering and materials, etc.
  • Responsible for domestic and international travel arrangements, including flights, hotels and car services. Prepare and submit travel and entertainment expense reports timely and accurately.
  • Support development and editing of power point presentations / word documents
  • Manage Brand Cluster purchase orders and invoice processing, following internal compliance requirements.
  • Assist with meal ordering, pick ups and deliveries.
  • Handle office services requests including but not limited to troubleshooting computer, I-phone equipment and telecom issues.
  • Maintain product and office supply inventory.
  • Create and maintain organizational charts and contact lists
  • Coordinate the on-boarding of new hires including the set up of email, phone, office space.
  • Serve as backup admin support for Executive Group President if needed.


Qualifications

Position requires 3+ years related experience.

College degree preferred.

Excellent communication, interpersonal and organizational skills with ability to drive projects in efficient and diplomatic, professional manner.

Excellent capabilities in computer skills and software including Microsoft Office applications- Outlook, Word, PowerPoint, Excel, Visio.

Ability to proactively and effectively collaborate with internal cross-functional partners.

Must have ability to handle multiple projects and tasks with critical and accelerated time frames adapting to changing priorities.

Ability to manage highly confidential and urgent matters.
