Job Description: We are seeking a highly organized and proactive Office Coordinator to join our team. The Office Coordinator will be responsible for managing day-to-day administrative tasks, ensuring the smooth operation of the office, and providing support to various departments as needed.
Responsibilities:
- Greet visitors and clients in a professional and friendly manner.
- Answer and direct phone calls to the appropriate person or department.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
- Assist in the planning and coordination of meetings, conferences, and office events.
- Coordinate travel arrangements and accommodations for staff members.
- Manage office facilities, including coordinating maintenance and repairs as needed.
- Assist with onboarding new employees, including preparing workstations and necessary paperwork.
- Handle incoming and outgoing mail and packages.
- Maintain office filing systems and databases.
- Provide administrative support to various departments, including preparing documents, scheduling appointments, and organizing files.
- Assist with special projects and tasks as assigned by management.
Requirements:
- Proven experience as an office coordinator, office administrator, or similar role.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Knowledge of office management procedures and basic accounting principles.
- Bachelor's degree in business administration or related field preferred.
