Position Summary: The Facilities Coordinator ensures the smooth operation and maintenance of all assigned facilities within the organization. They are responsible for coordinating and overseeing maintenance and repair work as well as the administration of the Facilities Service Desk. This role requires a detail-oriented individual with excellent organizational and communication skills, as well as a proactive approach to problem-solving. The Facilities Coordinator will work closely with various departments and vendors to ensure a safe, sustainable, and functional environment for all employees and members in the Boise area.

Essential Functions and Basic Duties:

  • Coordinate and oversee all facility maintenance activities, including repairs, inspections, and upgrades
  • Assist in the development and implementation of preventative maintenance programs to ensure the longevity of facility assets
  • Manage relationships with external vendors and contractors for facility-related services
  • Conduct regular inspections of facilities to identify maintenance needs and safety hazards
  • Maintain accurate records of maintenance activities, expenses, and contracts
  • Assist in the monitoring of facility budgets and expenses, identifying cost-saving opportunities where possible
  • Ensure compliance with all relevant health, safety, and environmental regulations
  • Supports security measures, including access control systems and surveillance cameras
  • Respond promptly to facility-related emergencies and address issues as they arise
  • Collaborate with department managers to support their facility-related needs and initiatives
  • Assist in remodeling or construction efforts as assigned by Facilities Manager
  • Perform any and all duties as assigned by Facilities Manager

  • Timely completion of maintenance tasks, repairs and trainings
  • Adherence to budgetary constraints and cost-saving initiatives
  • Compliance with health, safety, and environmental regulations
  • Effectiveness in coordinating with internal stakeholders and external vendors
  • Responsiveness to facility-related emergencies and issues
  • Maintains a positive, enthusiastic attitude while representing Westmark, both during and after work hours, in a courteous, professional manner


Requirements

Required Knowledge and Abilities:
  • Ability to perform general interior and exterior maintenance
  • Comfortable operating power tools such as drills and saws and hand tools such as hammers, pliers, electrical pliers, etc.
  • Knowledge of Carpentry, plumbing, electrical wiring, painting skills, or construction background
  • Knowledge of facility management best practices and principles.
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Working knowledge in using computerized ticketing system, or maintenance management systems (CMMS)
  • Familiarity with relevant health, safety, and environmental regulations
  • Ability to prioritize tasks and work effectively under pressure
  • Problem-solving skills and attention to detail
  • Flexibility to adapt to changing priorities and emergencies
  • Leadership qualities and the ability to work independently as well as part of a team

Minimum Qualifications:
  • High school diploma or equivalent
  • At least 4 years of experience in facilities maintenance, or a related field
  • Demonstrated experience in coordinating maintenance activities and vendor management
  • Proficiency in basic computer skills, including Microsoft Office Suite
  • Capable of lifting 50 pounds, or more
  • Must be able to travel to various branches in the Boise area as required

Preferred Qualifications:
  • Previous experience working in a similar role within a corporate, financial or institutional setting
  • Familiarity with energy management and sustainability practices
