POSITION OVERVIEW

Based in our downtown Chicago headquarters, a Client Service Support Associate is a critical part of the wealth management team, providing a broad range of client management support to Advisors and Kovitz clients. The individual selected for this role will help support client relationships, be dedicated to client service, and have the highest ethical and professional standards of excellence. This role will provide support for client operational requests.

A successful Client Service Support Associate at Kovitz is passionate about client service, demonstrates exceptional communication and time management skills, and approaches their work with an eagerness to ensure accuracy in all client deliverables.

Specific job responsibilities

  • Support the CSA team in all operational client requests for the middle and back offices.
  • Assist Kovitz Client Service and Wealth Management teams with the preparation of asset movement request forms and other client-specific requests at various custodians (e.g., account transfers, document requests, account settings updates).
  • Process cashiering (contributions, distributions, RMDs, etc.), address and beneficiary changes, etc as needed.
  • Provide team phone coverage and general administrative support including copying, scanning, mailing, and creating/maintaining client files.
  • Gather, input, and maintain key client information across firm relationship management systems.
  • Monitor and track client related tasks and follow ups using our CRM system.
  • Communicate with custodians and initiate proactive follow-through.
  • Maintain internal dashboards and reports for consistent communication and transparency with relevant stakeholders and clients.
  • Maintain existing client relationships by helping Client Service team resolve client inquiries, making sure key client information and documentation is up to date.
  • Assist with distribution of relevant tax documents and statements (e.g., scanning data, sending documents to clients).
  • Interact with spreadsheet-driven reports for the Wealth Management team.
  • Provide backup support for CSA Team Members who are out of the office.
  • Provide assistance on various ad-hoc and special projects as directed by management.

Preferred Skills & Experience

  • Minimum of 2 years administrative and/or client service experience in financial services
  • Bachelor s degree in Finance, Business, or related field preferred.
  • Excellent problem-solving skills related to custodian resolution matters.
  • Interest in building a successful career within an inclusive and client centric firm. Develop skills needed to move forward along our client service career path.
  • Knowledge of custodial platforms (NetX360, Schwab Advisor Center, Wealthscape) preferred, but not required.
  • Familiarity with registered investment advisory (RIA) firm operations preferred, but not required.
  • Strong mathematical aptitude
  • Superb written and verbal communication skills.
  • Ability to work effectively in a highly collaborative team environment.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Ability to prioritize multiple and competing tasks and demands.
  • Possess intellectual curiosity and positive attitude toward client relations to provide exceptional, proactive client service.
  • The successful associate will be professional, caring, and genuinely demonstrate the highest level of client service.
