Position Overview:

As an Insurance Document Associate, you will be an integral part of our client's team responsible for the efficient processing and distribution of incoming mail to support our business unit. Your role will involve mail handling, document verification, underwriting support, and maintaining high standards of accuracy and confidentiality.


Key Responsibilities:

  • Receive, evaluate, acknowledge, and distribute incoming mail following established procedures.
  • Ensure accurate routing of mail to appropriate departments and individuals.
  • Identify and resolve misdirected mail promptly.
  • Officially acknowledge receipt of incoming mail as per guidelines.
  • Report relevant information to underwriters and escalate issues to Team Leader or Manager when necessary.
  • Assist with mail sorting, distribution, and print-outs.
  • Handle FedEx sorting and distribution tasks.
  • Support Electronic Document Conversion activities as needed.


Specific Duties:

  • Perform underwriting and claims document review and audit according to detailed procedures.
  • Identify and classify various types of applications and documents.
  • Recognize misrouted forms and documents and route them correctly.
  • Prepare documents for scanning and maintain scanning equipment.


Additional Responsibilities:

  • Analyze and review auto-classified/indexed documents for errors or issues.
  • Ensure electronic document images are legible and usable.
  • Review and process underwriting and claims faxes efficiently.
  • Scan documents accurately with a focus on image quality.
  • Handle document re-scans, research unidentifiable mail, and respond to inquiries.


Qualifications and Skills:

  • High school diploma or equivalent.
  • 1-2 years of prior experience in mail handling or customer service.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Attention to detail and a high degree of accuracy.
  • Comfortable working in a fast-paced environment.
  • Basic proficiency with PC applications.
  • Ability to work independently while following established procedures.
  • Team player with excellent collaboration skills.
  • Ability to handle confidential information in accordance with privacy regulations.
  • Proficiency in multitasking and navigating various systems.
  • Capable of lifting 15-20 lbs consistently.
  • Non-Registered Fingerprinted (as required).

  • Perform other duties as assigned by Team Leader or Manager.
  • Adhere to privacy laws and company standards.
